Event Coordinator
Hit Parader Live is not just a venue it's a rock & roll supper club and nightlife experience! Rooted in rock culture, elevated hospitality, and immersive live entertainment. We blend craft cocktails, shareable cuisine, celebrity energy, and high-touch service into a late-night experience that feels iconic. We are seeking a highly organized, relationship-driven Event Coordinator to lead private events, artist after-parties, label showcases, VIP hosting, and branded buyouts. This role is equal parts logistics, hospitality, and culture-building. The Event Coordinator will manage the full lifecycle of private and specialty events from inquiry to execution to post-event follow-up. This role works closely with Operations, Marketing, Entertainment, and Leadership to ensure seamless execution and unforgettable guest experiences. This is a hospitality-forward role not a talent buyer though you will support advancing logistics for select live performance events and record label showcases. Key responsibilities include: Respond to private event inquiries and qualify leads. Conduct venue tours and present event packages. Develop customized proposals and pricing models. Negotiate and execute event contracts. Manage deposit collection and payment schedules. Maintain CRM and pipeline tracking (TripleSeat or equivalent). Create detailed BEOs (Banquet Event Orders). Lead internal event meetings with culinary, bar, and production teams. Advance run-of-show details for album releases, showcases, and VIP nights. Coordinate vendor logistics (AV, dcor, rentals, specialty entertainment). Oversee event setup, execution, and breakdown. Serve as primary client contact during events. Coordinate artist and celebrity after-parties. Manage VIP guest lists and discreet accommodations. Collaborate with security and management on privacy protocols. Foster relationships with promoters, label reps, and industry contacts. Program and manage venue management software (TripleSeat). Build and refine event pricing structures. Track event revenue and performance metrics. Maintain organized digital files and contracts. Assist with developing SOPs for private events and specialty programming. What success looks like: Strong monthly event booking pipeline. Consistent execution of seamless, detail-oriented events. High client satisfaction and repeat business. Growth in branded partnerships and music industry activations. Smooth internal coordination with zero last-minute confusion. Ideal candidate profile: 2+ years in event coordination, venue management, hospitality, or nightlife. Experience with CRM/event management platforms (TripleSeat preferred). Strong written and verbal communication skills. Highly organized with sharp attention to detail. Comfortable in high-energy nightlife environments. Professional discretion with celebrities and VIPs. Ability to work evenings and weekends. Compensation & schedule: Full-time position Competitive salary (DOE) + performance incentives. Evening & weekend availability required.
