The
Cluster Sales Coordinator
supports the Sales & Commercial team across three iconic Hilton properties in Seychelles. This role ensures seamless coordination of sales activities, efficient administrative support, and outstanding service delivery to partners, clients, and internal stakeholders.
The coordinator will assist in managing sales processes, handling client inquiries, preparing proposals and agreements, updating systems, and supporting sales managers in driving revenue and maintaining strong client relationships.
Key Responsibilities
Provide day‑to‑day administrative support to the Cluster Sales, Events, and Commercial team.
Prepare proposals, contracts, presentations, fact sheets, and other sales documents as required.
Manage and maintain calendars, schedule client meetings, site inspections, and familiarization trips.
Organize and coordinate participation in trade events, exhibitions, and industry functions.
Client & Partner Coordination
Act as a primary point of contact for incoming sales inquiries and direct them to the appropriate sales managers.
Support pre‑arrival communication with clients, travel partners, and corporate accounts.
Assist with planning and executing client visits, ensuring a luxury-level welcome and experience.
Systems, Reporting & Database Management
Maintain and update customer information in
Hilton systems , including
Delphi, OnQ, and CRM platforms .
Support the preparation of weekly, monthly, and quarterly sales reports and performance dashboards.
Track RFPs, contracts, options, and deadlines to ensure timely follow‑up.
Prepare rate loading forms and coordinate with Revenue Management for accuracy.
Assist in maintaining sales tools, brochures, fact sheets, and digital assets for all three properties.
Collaborate with Marketing on social media content requests, photography needs, and promotional campaigns.
Ensure brand compliance across all cluster sales materials.
Coordination Across Three Properties
Liaise with operations, front office, reservations, and revenue teams to ensure alignment on group bookings, VIP requests, and corporate stays.
Track and communicate updates on key accounts and cluster-wide commercial initiatives.
Support coordination of cluster sales activities, including familiarization stays, media visits, and partnership initiatives.
General Duties
Maintain an organized filing system (digital & physical).
Handle travel arrangements, purchase orders, and office supplies for the sales team.
Represent the Sales Department professionally in all interactions, reflecting Hilton luxury brand standards.
Qualifications & Experience
Diploma or degree in
Hospitality, Business, Administration , or related field (preferred).
At least
1–2 years of experience
in a Sales, Events, Reservations, or Administrative role—hospitality experience is an advantage.
Familiarity with
Hilton systems
(Delphi, OnQ, R&I, CRM) is an advantage.
Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Strong organizational skills and the ability to manage multiple priorities efficiently.
