Real Estate & Land Use Legal Assistant / Secretary

Our client is seeking a skilled Legal Assistant/Secretary to support their Real Estate, Land Use & Litigation attorneys. This position is 90% transactional legal support for the Real Estate and Land Use teams. Some litigation support will be required, but minimal. Prior Real Estate/Land Use experience is required.

Responsibilities

Support residential and commercial purchase/sale and leasing agreements, including easements

Coordinate signings, notary services, and recordings

Assist with Public Records Act requests, ACCELA permitting, zoning and mapping research

Conduct property information searches (e.g., TitlePro)

Administrative

Manage attorney calendars; coordinate meetings, hearings, closings, and public meetings

Prepare, format, and proofread correspondence, memoranda, and pleadings

Open new matters, maintain client files, and ensure document control

Prepare engagement letters, run conflict checks, and track deadlines

Assist with time entry and LEDES billing

Communicate professionally with clients, agencies, consultants, and opposing counsel

Education & Experience

Minimum 3 years of experience in a law firm (real estate and/or litigation; multi‑practice support a plus)

Familiarity with court rules and e‑filing (state and federal), land use/CEQA workflows, and real estate transaction processes

Proficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint); WordPerfect a plus

Experience with document management systems (Prolaw, Essential Forms, CAR Forms, DocuSign), e‑filing portals, and e‑billing (LEDES/Sage Timeslips)
