Proposal Coordinator I

to work in-person at 421 South Birdneck Road, Virginia Beach, VA 23451.

General Description The Proposal Coordinator I supports the end-to-end coordination, preparation, and submission of compliant, high-quality proposals and related business development responses for Government and commercial customers. This entry-level role focuses on proposal process execution, content assembly, compliance checks, and proposal development support.

Principal Duties and Responsibilities

Assist in reviewing solicitations to identify scope, instructions, and compliance requirements and communicate findings to the proposal team as directed.

Develop and prepare proposal material in response to Requests for Proposals (RFP), Requests for Quotes (RFQ), Requests for Information (RFI), Sources Sought, White Papers, etc.

Support proposal processes in accordance with established procedures, including planning, reviews, and production activities.

Coordinate with internal stakeholders and teammates to support company proposal responses under the direction of proposal leadership.

Assist with development of proposal schedules and track assignments and deadlines to support on-time submission.

Gather and research information to include in proposals, including technical, past performance/ project summaries, resumes, and cost/price narratives.

Review, organize, and edit written documentation to improve clarity.

Perform quality control checks for spelling, grammar, formatting, consistency, and compliance prior to submission.

Assist with preparation of electronic proposal volumes and limited hardcopy production when required.

Coordinate with staff to develop, research, and track ongoing proposal and other business development efforts.

Assist with basic market and customer research in support of proposal efforts.

Work with technical and management staff to obtain required proposal inputs in accordance with company procedures.

Submit proposal and/or quote responses through online Government portals as applicable.

Assist in the day-to-day hard copy file maintenance and electronic file organization.

Categorize graphic files and write ups by topic/discipline use on future proposal efforts.

Assist with formatting and editing of technical documentation and contract deliverables as directed.

Generate, update, and maintain corporate resumes, performance/project summaries, and proposal files.

Work Experience Requirements 0-2 years of experience in proposal coordination, business development, or a related administrative role.

Educational Requirements BS/BA Degree or In lieu of a degree, a minimum of 4 years related DoD proposal experience will also qualify candidates for this position.

Working Conditions This work is typically performed in an office environment, which requires normal safety precautions; work may require some physical effort in the handling of light materials, boxes, or equipment. Essential Skills/Experience

Strong written communication and editing skills

Proficiency in Microsoft Office (Word, PowerPoint, Excel) and collaboration tools (SharePoint, Teams, Adobe Acrobat).

Strong organizational skills with attention to detail.

Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Ability to work effectively in a team environment with varying levels of supervision.

Beneficial Skills/Experience

Basic understanding of proposal processes and solicitation types.

Experience supporting proposal production.

Exposure to Federal acquisition environments.

Ability to obtain a Government security clearance, as required.
