
Executive Assistant / Donor Relations Manager

About the Role
Tuacahn Center for the Arts is seeking an Executive Assistant (EA) / Donor Relations Manager (EA) to help steward and engage the donors whose generosity sustains our artistic and educational programs.
The role works closely with the Director of Development and collaborates across the organization to deliver a thoughtful and well-coordinated donor experience.
This position plays a key role in ensuring donors feel valued, informed, and connected to Tuacahn's mission. The Donor Relations Manager coordinates donor benefits, supports donor-facing events and experiences, and maintains accurate donor records to support effective fundraising and stewardship.

The Executive Assistant (EA) / Donor Relations Manager (EA) helps ensure our supporters feel connected to the impact of their philanthropy and remain engaged partners in Tuacahn's future. Key Responsibilities Development Team Support
Provide coordination support to the Director of Development and the fundraising team
Ensure donor activity and updates are communicated so portfolio managers can steward their donors effectively
Assist with donor communications, reporting, and project coordination
Cross-Department Collaboration
Work closely with internal teams such as ticketing, events, marketing, and finance to coordinate donor experiences and ensure donor-facing activities run smoothly.
Donor Stewardship & Engagement
Serve as a primary point of contact for donors and assist with questions, requests, and engagement opportunities
Coordinate donor benefits such as performance tickets, VIP experiences, backstage tours, and event invitations
Ensure donors receive timely acknowledgements and recognition for their gifts
Track donor engagement and communicate key updates to the development team to support relationship-building
Donor Events & Experiences
Support the planning and coordination of donor events such as receptions, dinners, and special gatherings
Manage guest lists, invitations, and RSVPs for donor events
Coordinate donor attendance at performances and special experiences
Donor Data & Systems
Maintain accurate donor records across Tuacahn's systems
Record gifts in AudienceView, a ticketing and fundraising management system
Track donor relationships and engagement in Copper, a Customer Relationship Management (CRM) system
Maintain reports and internal tracking tools used by the development team to monitor donor activity
Qualifications
Experience in executive assistance and catering to top management needs and priorities
Strong organizational and communication skills at different levels
Attention to detail and experience in maintaining accurate data
Experience in nonprofit fundraising, donor relations, event coordination, or a related field preferred
Ability to manage multiple projects and priorities
Comfort working with donor databases, spreadsheets, and project management tools
Salary Range:
$50,000 + per year depending on experience, plus applicable benefits, including health and dental.
