We are seeking a highly organized, tech-savvy, and dependable

Personal Assistant

to support the owner of a fast-paced Car Brokerage and Leasing company based in Brooklyn. This is a hands-on role for someone who thrives in a dynamic environment, can multitask efficiently, and is comfortable managing both administrative and operational responsibilities.

The ideal candidate is proactive, detail-oriented, and comfortable working closely with leadership. You will play a key role in keeping daily operations running smoothly, managing communications, organizing documentation, and ensuring deals and tasks stay on track.

Role Overview As the Personal Assistant, you will serve as the right hand to the business owner, supporting day-to-day business operations, managing communications, coordinating schedules, and handling a variety of administrative tasks. This role requires strong computer skills, excellent organizational ability, and the confidence to juggle multiple priorities at once.

In a car brokerage and leasing environment, timing and accuracy are critical. You must be comfortable tracking multiple deals, following up consistently, and ensuring no detail is overlooked.

Key Responsibilities

Manage and organize daily schedules, appointments, and meetings

Handle emails, phone calls, and client communications professionally and efficiently

Assist in tracking vehicle deals, lease agreements, and customer documentation

Organize digital files, contracts, and client records to ensure accessibility and accuracy

Prepare and review paperwork related to vehicle leases and transactions

Coordinate with dealerships, clients, and vendors to ensure timely follow-ups

Assist with invoicing, payment tracking, and basic administrative tasks

Conduct online research related to vehicles, pricing, availability, and promotions

Maintain organized spreadsheets and internal tracking systems

Handle miscellaneous tasks and errands as needed to support business operations

Qualifications

Strong computer proficiency, including comfort with email, spreadsheets, and digital file management

Excellent organizational and multitasking skills

Detail-oriented with strong follow-through

Professional communication skills, both written and verbal

Ability to work independently while staying aligned with leadership priorities
