
Bilingual Legal Receptionist

Balaban Law personal injury firm is seeking a bilingual legal assistant for a reception position. Excellent customer service skills, time management and case management skills. Meeting deadlines are essential qualifications to being successful in this position.
Fluency in Spanish a must have.
Preferred experience: Front desk and customer service experience of at least two-years in an office environment. Law firm experience a plus.
Schedule: 8 hour shift (8:00am – 5:00pm)
In-Office Monday - Friday
Primary Responsibilities:
Answering incoming calls and directing them to attorneys or support staff
Greeting clients and visitors, maintaining a professional, compassionate demeanor
Scheduling client meetings for attorneys
Calling clients for treatment updates
Medical records requests and follow up
Forwarding insurance correspondence
Settlement check notifications to clients
Understand client experience and ask for google reviews
Intake support - Collecting preliminary accident details
Entering PNC information into case management software
Opening files for new clients and follow-up on requirements (LOR, TAR, Treatment)
Daily Administrative Tasks:
Scanning, copying, and filing legal documents
Organizing physical and digital case files
Processing incoming and outgoing mail
Reviewing attorney calendars, office meetings and availability
Conference room and kitchen cleanliness
