Sales Operations Specialist - Administrative

The Opportunity In this role, you will support two senior Sales Leaders within Hitachi Energy’s Front-End Sales business, helping drive operational excellence across the U.S. sales organization. As part of a team that serves customers across the power grid and energy markets, you will manage essential activities that keep regional sales efforts organized, coordinated, and moving forward. Your work will contribute to smooth sales execution, clearer communication across teams, and more effective customer engagement—important factors that support the broader reliability, safety, and performance expectations of the power industry. This role will support our East and Central Regions. Role will be onsite/remote hybrid work arrangement. Required to be onsite at least three days a week.

You will take ownership of a diverse set of responsibilities, from coordinating travel and schedules to preparing regional presentations and ensuring new hires join the sales team smoothly. You will shape the flow of information by managing monthly reporting, acting as a primary point of contact for team members, and helping senior leaders stay focused on priorities. Along the way, you will deepen your understanding of sales operations within the energy sector, build familiarity with tools such as Salesforce and Power BI, and gain exposure to the daily workings of a high‑performing commercial organization. How You’ll Make An Impact

Coordinate and book travel arrangements for senior leaders, ensuring accuracy and compliance with travel and expense policies.

Support creation of regional presentations by gathering information, preparing materials, and finalizing content for sales team use.

Prepare onboarding steps for new hires joining sales teams and coordinate with HR and Sales Operations to ensure timely access and equipment.

Serve as a point of contact for regional team members by understanding key partners and applying Front End Sales policies in daily tasks.

Manage complex calendars for senior leaders, scheduling meetings and addressing conflicts as needed.

Own the preparation and submission of expense reports, including documentation collection, entry into Concur, and policy adherence.

Coordinate internal and external meetings by arranging locations, meals, invitations, and supporting any required follow‑up activities.

Produce monthly reports, including order snapshots, pipeline updates, key opportunities, and market driver summaries.

Responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.

Your Background

Candidate must already have work authorization that would permit them to work for Hitachi Energy in the United States.

Bachelor’s degree and 2 years of experience OR Associate’s degree and 4 years of experience in administrative responsibilities.

Experience working with confidential information related to employees and organizational strategy.

Able to work and communicate effectively with team members across functions and levels of the organization.

Able to manage multiple projects simultaneously and support several members of the Sales Leadership team.

Proficient with Microsoft Office, including Excel skills such as formulas and pivot tables, and able to compose professional correspondence.

Highly motivated self‑starter with a positive, can‑do mindset.

Highly organized with a sense of urgency and the ability to prioritize responsibilities.
