
Senior Marketing Events & Program Specialist

Reporting to the Associate Director of Strategic Programs, the Senior Marketing Events & Programs Specialist will be responsible for planning and execution of conferences, trade shows, webinars, and company hosted events for both Jenzabar and Jenzabar's enrollment strategy division, Spark451. The position focuses on operational execution, logistics, communication, and cross‑functional coordination, to ensure events are delivered efficiently, consistently, and in alignment with broader business goals.
Essential Tasks
Collaborate with the Associate Director, Strategic Programs to research, recommend, and support tradeshows and events (in‑person and virtual) aligned with marketing and sales objectives
Travel as needed to events and conferences (around 6-10 a year, but also dependent on business needs)
Manage and maintain the master conference and events calendar
Coordinate the logistics and execution of 30+ tradeshows and conferences annually, including booth selection, staffing coordination, badge registration, internal communications, shipping, and onsite support
Plan and execute hosted dinners and receptions tied to select trade shows and conferences, including venue sourcing, logistics, invitations, and RSVP management
Develop and manage event‑specific execution plans, timelines, and pre‑ and post‑event communications
Partner with marketing, sales, creative, and operations teams to support event objectives and ensure smooth execution
Track event expenses, process invoices, and support budget monitoring and reconciliation
Serve as an operational point of contact for onsite sales teams and internal stakeholders during events
Support vendor, sponsor, and exhibitor coordination to ensure consistent branding and a high‑quality attendee experience
Assist with post‑event reporting and operational metrics to support ROI analysis and continuous improvement
Occasionally access designated storage areas to handle event shipment preparation and organization, and travel as needed to tradeshows and conferences for onsite support
Webinars & Online Thought Leadership
Own the planning, management, and execution of Jenzabar's webinar program, delivering consistent thought leadership, brand visibility, and lead‑generation outcomes
Align webinar topics, formats, and cadence with strategic priorities through regular collaboration with the Associate Director, Strategic Programs
Manage the annual webinar calendar and oversee end‑to‑end production within webinar platforms, ensuring a polished and engaging attendee experience
Partner with Marketing, Sales, Product Management, and Customer Success to identify speakers, refine messaging, and support business objectives
Collaborate with Digital Marketing and Product Marketing to build targeted invitation lists and execute multi‑channel promotional campaigns through HubSpot and other platforms
Serve as the primary point of contact for internal teams, customers, and partners regarding webinar logistics, platform use, and best practices
Manage the customer portal webinar page, ensuring timely publication of registration links and archived recordings
Deliver actionable reporting on registration, attendance, and engagement to support lead follow‑up, performance tracking, and continuous improvement
Company Hosted Events
Oversee Jenzabar Annual Meeting (JAM) exhibit hall operations, room setup, and exhibitor coordination
Manage sponsorship programs, including logistics, benefit fulfillment, and onsite activation of sponsor deliverables
Collaborate with the Partners team to support sponsor outreach, onboarding, communication, and ongoing relationship management across events
Gather and analyze post‑event feedback, performance metrics, and sponsor insights to inform continuous improvement and guide strategic enhancements for future events
Perform additional event‑related duties and special projects assigned to support the successful execution of events
Marketing Programs & Additional Responsibilities
Manage promotional and print assets, ensuring marketing collateral is current, accessible, and available across events
Own tracking of event‑related budgets and invoices, maintaining accurate documentation and supporting financial oversight
Serve as the primary day‑to‑day liaison for vendors supporting promotional items, conference services, and sponsorship fulfillment
Skills And Experience
Bachelor's degree in Marketing, Communications, or Business
Ability to travel to events is required
5+ years relevant experience required
Experience in the software industry a plus
Must understand marketing objectives; be team‑oriented, organized, and flexible; and possess strong writing skills, interpersonal communication skills, and creative thinking
Experience with a marketing automation tool
Excellent PC, Internet, Microsoft Office, and database management skills required
Planning and events‑related skills, including efficiency, organization, and attention to detail required
Ability to work both independently and within a busy team environment requiredWillingness to undertake a wide range of tasks to complete projects on deadline required
Demonstrated project management skills a plus
The pay range for this position is $55,000-$65,000/year; however, base pay offered may vary depending on job‑related knowledge, geographic location, skills, and experience. This position is eligible for an annual bonus in addition to a full range of benefits.
