Key Responsibilities And Accountabilities

Coordinate talent and crew travel and logistics for 600+ MLS matches, shoots, championship matches and other events each season, including concurrent match weeks and high‑volume travel windows

Maintain accurate, real‑time updates in internal tracking systems to ensure production visibility

Verify and confirm all travel‑related details, such as departure and arrival times, accommodation reservations, and necessary travel documentation to ensure accuracy

Maintain clear and effective communication with talent, crew and internal team members throughout the travel planning process, addressing any questions, concerns, or changes promptly and professionally

Liaise with travel agency on day‑to‑day operations and requests

Must be able to work outside of normal business hours, especially during busy times of the season

Provide support to Studio PM, Match PM and Lead PM to assure production and client needs are met

Track and reconcile travel spend against approved budgets; flag overages or discrepancies to Production Manager

Flexibility required for evenings/weekends during peak match periods and live event windows

Troubleshoot and provide support to ad‑hoc production queries/duties within the department in conjunction with broader production team

You may also be required to carry out any other duties within the reasonable scope of production operation

Excellent production coordination and support across productions, delivering accurate itineraries and documentation with minimal revisions resulting in effective production support for broader production management team

Compliance with company procedures as detailed in IMG’s Production Guide

Knowledge and Experience

Experience working in a fast‑paced environment

Experience arranging travel logistics

Understanding the process and rationale of cost tracking systems

Previous experience at Production Assistant or Coordinator level

Experience in customer service or client‑facing role

Skills And Abilities

Previous experience of working to deadlines – works well under pressure, managing and prioritizing workload effectively

Microsoft Excel

Smartsheet experience preferred but not required

Excellent communication skills (both written and verbal)

Plans ahead and effectively organizes workload

Ability to adapt to various ways of working and working across multiple projects simultaneously

Excellent time management - reliable and punctual

Willingness to learn new systems and processes

Calm under pressure

Positive, professional and pro‑active approach to work effectively as part of a team and independently (without close supervision) – showing initiative

Working Conditions This role is based at IMG Offices, Stamford, CT. This is a permanent contract. Requires weekend working and occasional regional/international travel. Flexibility required for evenings/weekends during peak match periods and live event windows.
