This is a Regular full Time Exempt position (40 hours per week, 8:00AM - 5:00PM) for community outreach, awareness, volunteer recruitment/ training and fundraising for CASA of Ohio Valley. The work will be done in Daviess, McLean, Hancock and Ohio Counties, main office is held in Daviess County. Travel to each county is required. Some evening and weekend hours will be required in order to successfully complete the job requirements.

BENEFITS: 3% Company Retirement Match (Simple IRA)

CASA of Ohio Valley will match up to 3% of the employee's salary in contribution to the Simple IRA. The employee may choose to contribute an amount above 3% however no more than 3% will be contributed by CASA of Ohio Valley.

Employee Child Care Assistance Partnership (ECCAP)

CASA of Ohio Valley will contribute $200 per month, towards an employee's overall child care cost through the ECCAP Program. No contribution will be made outside of the ECCAP program. Any employee wishing to participate in the program must complete the application in collaboration with CASA of Ohio Valley and their chosen child care provider and meet all eligibility requirements.

CASA of Ohio Valley, Inc. provides 10 observed paid holidays per year:

1. New Year’s Day

2. Memorial Day

4. Fourth of July (as observed)

5. Labor Day

6. Thanksgiving Day

7. Friday following Thanksgiving Day ("Black Friday")

8. Christmas Eve (December 24)

9. Christmas Day

10. Floating Holiday

Additionally, CASA of Ohio Valley will be closed during Owensboro Public Schools Spring Break, Fall Break ,and from December 26-December 31st each year.

Position Summary The Recruitment, Engagement, Retention & Training Specialist is responsible for strengthening CASA of Ohio Valley’s volunteer base and community presence across Daviess, Hancock, McLean, and Ohio counties . This position focuses on consistent, measurable volunteer recruitment, community engagement, fundraising support, oversight of New Advocate Training and continuous education opportunities while ensuring compliance with Kentucky State CASA and National CASA/GAL standards. This position focuses on the ability to work cooperatively with people of diverse personalities, lifestyles, cultures and backgrounds

This role works collaboratively with the Executive Director, staff, and Board to advance CASA’s mission through strategic outreach, volunteer growth, and sustainable fundraising efforts.

This position requires travel throughout Daviess, Hancock, McLean, and Ohio counties and may include evening or weekend hours as needed.

Responsibilities

Conduct volunteer recruitment efforts in Daviess, Hancock, McLean, and Ohio counties .

Complete

monthly outreach expectations , including:

At least

one tabling event per month per county

At least

one active recruiting speaking opportunity per month per county

Attendance at

two community meeting per month , which may include Chamber of Commerce meetings and other community-based gatherings

Work with the Executive Director to determine the goal for the number of volunteers to be recruited for the fiscal year.

Create and maintain a Recruitment, Engagement, Retention and Training Calendar

This calendar is to be completed and submitted to the Executive Director at the beginning of each year in January

Build and maintain strong relationships with community partners, organizations, and stakeholders in each service area.

Ensure all recruitment and outreach efforts reflect CASA’s mission, vision, and values.

Any other duties as assigned by the Executive Director

Support volunteer retention by ensuring all CASA advocates have access to and complete

a minimum of 12 continuing education hours annually , in compliance with Kentucky State CASA and National CASA/GAL requirements

Identify, coordinate, and maintain relationships with community partners and organizations that work in related fields and provide relevant learning opportunities for CASA advocates, including but not limited to child welfare, mental health, substance use, education, domestic violence, and trauma-informed care.

Coordinate continuing education sessions, training, and learning opportunities that support advocate effectiveness and professional growth.

Track and maintain accurate documentation of all continuing education activities to ensure full compliance with training requirements , grant expectations, and quality assurance standards.

Ensure all training records, attendance logs, and required documentation are completed, organized, and available for audits, reporting, and program review.

Tracking, Documentation & Reporting

Document all outreach, recruitment, retention and community engagement efforts on the shared Google Calendar .

Complete a Return on Investment (ROI) Google Form for each event, meeting, or outreach activity.

Capture and submit at least one photo per outreach effort for use in grant reporting, marketing, and community awareness.

Maintain accurate records to support grant compliance, reporting requirements, and program evaluation.

CASA-hosted fundraisers or events should intentionally include a volunteer recruitment and community awareness component . Fundraising events serve as key opportunities to educate the public about CASA’s mission, increase visibility in the community, and engage potential volunteers, in addition to generating financial support for the program.

Fundraising Support

Work closely with the Executive Director to support fundraising initiatives and special events.

Assist in creating and preparing appropriate materials for fundraisers and events.

Support efforts to secure sponsorships and community partners for fundraising activities.

Participate in planning, coordination, and execution to ensure the overall success of fundraising events.

New Advocate Training

Responsible for scheduling and conducting initial volunteer interviews and ensuring all documentation is completed

Oversee and coordinate New Advocate Training (NAT) .

Ensure all new volunteers complete the required 30 hours of pre-service training in accordance with Kentucky State CASA and National CASA/GAL standards .

Attend trainings & meetings offered by NCASA & KCN

Coordinate training schedules, materials, presenters, and logistics to include but not limited with CANVA, CANVAS & training binders.

Ensure all required training documentation, and compliance materials are completed prior to volunteer swearing-in .

Work with staff to support volunteer readiness and successful onboarding.

Compliance & Collaboration

Adhere to CASA of Ohio Valley policies and procedures.

Follow National CASA/GAL Association Standards, Kentucky CASA Network requirements, and applicable court rules.

Collaborate with the Executive Director and staff to ensure recruitment, training, and outreach efforts align with organizational goals.

Other Duties

Assist with grant-related outreach documentation and reporting as needed.

Support retention efforts through ongoing engagement and communication with volunteers.

Perform other duties as assigned to support program growth and sustainability.

Qualifications

Demonstrate skills, knowledge and experience in effective interpersonal skills and the ability to establish successful working relationships with volunteers and service providers throughout the community.

Strong computer literacy using programs for communication and program material development. Strong oral and written communication skills.

English speaking with a second language is a plus.

Must maintain strict confidentiality related to CASA cases.

Must submit to and pass all required background checks.

Able to work under conditions which may require physical ability to reach, stand, sit, bend, lift. (reasonable accommodations will be provided to qualified individuals with disabilities.)

Ability to manage multiple projects at a time with minimal oversight.

Experience in communication, public speaking and presentations to diverse groups.

Experience in developing and presentation of materials in various formats, for example CANVA.

Strong creative, strategic organizational skills.

Bachelor's Degree or equivalent experience in Communications, Marketing or related field
