
Customer Service Representative

Process and manage customer orders from entry through shipment, ensuring accuracy in product specifications, pricing, and delivery requirements
Serve as the primary liaison between customers and internal departments (Production, Quality, Logistics, Regulatory, Sales)
Provide timely communication regarding order status, lead times, backorders, and shipment tracking
Coordinate required compliance documentation including COAs (Certificates of Analysis), SDS (Safety Data Sheets), and regulatory paperwork
Ensure all customer orders comply with company policies and regulatory standards (e.g., DOT, OSHA, EPA, ISO, cGMP as applicable)
Resolve customer inquiries, complaints, and discrepancies related to orders, billing, shipping, or product specifications
Maintain accurate customer records, pricing agreements, and contract terms within ERP/CRM systems
Support inventory planning by communicating forecast changes and urgent customer demand
Assist Sales and Account Management teams with quotes, order changes, and customer reporting
Participate in continuous improvement initiatives to streamline processes and improve customer satisfaction
Qualifications
Required
2–5+ years of customer service experience in manufacturing, chemical, industrial, or regulated environments
Experience working with ERP systems (SAP, Oracle, NetSuite, etc.)
Strong understanding of order management and logistics coordination
Excellent written and verbal communication skills
High attention to detail and ability to manage multiple priorities
Preferred
Experience in chemical, specialty chemicals, raw materials, or industrial manufacturing
Familiarity with regulatory documentation (COA, SDS, export documentation)
Knowledge of hazardous materials shipping requirements
