Job Summary The Senior Analyst – Transactions (Transaction Coordinator) is responsible for coordinating, managing and executing all administrative activities related to a variety of complex commercial real estate transactions across the Credit and Equity strategies. This role serves as a central point of communication among internal teams, borrowers, lenders, JV partners, legal counsel, title/escrow and third-party vendors on transactions which include the origination of senior and mezzanine debt, preferred equity, joint venture, and equity investments in various asset classes and real estate strategies.

Job Responsibilities

Assist Debt and Equity teams in the closing of awarded investments by coordinating lifecycle of transaction workflows from LOI execution through closing.

Create and maintain closing checklists, critical dates calendars, and closing timelines – ensuring all deliverables are accurately tracked through execution and deadlines are met by internal and external teams.

Order title commitments/updates, surveys, zoning reports, property condition reports and environmental reports and assist with curing defects.

Manage the organization of due diligence items both within Kairos’ internal document management system as well as deal specific diligence data rooms.

Maintain accurate and organized electronic filing systems for all closed transactions.

Prepare KYC-related forms and manage KYC, investor/ownership documentation, organizational charts and other organizational-related documents as needed.

Assist with entity formation, qualification, and bank account setup.

Coordinate execution of signature pages and delivery of same.

Gather invoices, coordinate payoff requests and assist with settlement statement preparation.

Coordinate internal funding processes with the Treasury/Accounting teams.

Orchestrate the post-closing transition of loans to third-party loan servicers.

Prepare transaction summaries in connection with deal closings.

Qualifications & Competencies

Bachelor’s degree required, preferably in business administration, finance, or related field.

3+ years of work experience in commercial real estate transaction support, title or paralegal fields.

Well-organized and detail-oriented individual with the highest degree of integrity, motivation, and intellectual curiosity.

Must be a team player who is comfortable working both collaboratively and independently in a high growth and high demand environment.

Understanding of commercial real estate due diligence processes and closing logistics (including title/escrow).

Ownership mindset, ability to anticipate needs, and proactively identify bottlenecks and develop solutions to keep transactions moving forward.

Ability to multitask and maintain composure in a deadline-driven environment.

Willingness to be available outside of standard business hours to meet transaction demands.

Ability to work in a high-paced, dynamic office located in Irvine, CA 5 days per week.

Compensation The annual U.S. based wage range for this full-time position is $85,000 – $100,000 annual. The base pay actually offered will vary depending on job-related knowledge, skills, location and experience and will take into account internal equity. Other forms of pay may be provided as part of the compensation package, in addition to a full range of health & wellness benefits.
