We’re seeking a detail‑oriented and client‑focused
Surplus Lines Coordinator
to join our Implementation team. Reporting to the Implementation Team Lead, this remote role is responsible for providing direct client support related to license updates, state credential coordination, portal configuration, and entity transitions as they apply to tax filing services. Success in this role requires strong critical thinking, organizational discipline, and a commitment to delivering a seamless client experience while ensuring accuracy within InsCipher’s tax filing systems.
Key Responsibilities
Coordinate and process client license updates, including terminations, producer or entity additions, default changes, and legal entity transitions
Assess how licensing changes impact state reporting requirements and ensure InsCipher’s proprietary tax filing portal is updated accurately
Guide clients through entity transitions and related system adjustments within the InsCipher Connect tax filing portal
Assist Filing Services clients and internal teams in obtaining state login credentials for newly licensed individuals, entities, or newly launched state portals
Conduct client outreach to collect required state information and provide guidance on state requirement changes
Update client profiles in response to system releases, including e‑filing updates and portal enhancements
Maintain accurate documentation, collateral, and SOPs to support organized project tracking and process continuity
Utilize CRM tools (Intercom) to respond to client inquiries and track communication history
Develop and maintain a strong working knowledge of InsCipher portal functions and workflow logic
Work independently, demonstrate initiative, and collaborate cross‑functionally with Filing, Implementation, and Support teams
Support onboarding and mentorship of future Surplus Lines Coordinators
Required to perform other duties as requested, directed, or assigned
Requirements and Qualifications
Bachelor's degree in Accounting, Business Administration, Finance or related field, or equivalent experience required
1+ years of experience in the insurance or surplus lines industry
2+ years of direct customer service experience
Strong organizational skills and attention to detail
Demonstrated ability to manage multiple tasks and priorities effectively
Proficiency in Microsoft Office Suite
Strong written and verbal communication skills
Working knowledge of project management fundamentals
