Event Specialist
The Event Specialist coordinates administrative and special projects related to larger University annual events, conferences, and programs. Reporting to the Senior Event Manager, the Event Specialist coordinates details for smaller events and programs by working with the client and the service providers to produce events that meet the high standard of the University. The Event Specialist serves as a point of contact between the event management team and their internal and external University clients. The Event Specialist also monitors departmental expenses and reconciles accounts. Major Responsibilities Supports the Senior Event Manager throughout any given event as a client liaison for conferences, and/or events, with respect to budgets, speakers, catering, facilities, technology, logistical requirements, contracts, and other related issues. Establish event goals and objectives; estimate costs; manage and identify appropriate University space; coordinate work for internal Brown trades and departments, including but not limited to University Human Resources, Brown Catering, Media Services, FM Event Support; coordinate external vendor resources needed to support the goals and objectives of the event; act as primary point-of-contact to the client throughout the planning process and staff as needed. Coordinate financial support services in support of the event management team. Assist with coordination of event support volunteers, staff and students. Qualifications BA/BS degree or equivalent combination of education and experience, with 1-2 years of experience in planning events. Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources including virtual event planning techniques and technology. Highly skilled in organizing resources and establishing priorities, and the ability to develop, plan, and implement short and long-range goals. Knowledge of conference facilities, technology, and equipment. Ability to make administrative/procedural decisions and judgments. Ability to perform complex tasks and to prioritize multiple projects. Skill in the use of personal computers and related software applications. Ability to use independent judgment and to manage and impart information to a range of clientele. Strong interpersonal and communication skills and ability to establish effective business relationships with internal and external clients and vendors. Strong service orientation.
