
Marketing Project Coordinator

Under the direction of the Director of Marketing, the Marketing Project Coordinator is responsible for planning, producing, coordinating, and completing both new and recurring marketing projects. In this multifaceted role, the Marketing Project Coordinator works closely with the Marketing team, Sales, upper management, and other departments to achieve established marketing goals and initiatives.
This role requires strong organizational discipline, independent execution, and ownership of projects from planning through completion. The Marketing Project Coordinator is responsible for ensuring marketing initiatives are executed accurately, on schedule, and in accordance with established processes and approval workflows.
Key responsibilities include coordinating and executing the corporate tradeshow strategy, managing external customer communications, such as the customer e-newsletter and survey programs, and overseeing multiple concurrent marketing initiatives.
ORGANIZATIONAL SUPERVISION, REPORTING AND INTERFACE The Marketing Project Coordinator reports directly to the Director of Marketing and works interactively with the Marketing, Customer Support, Engineering, and Sales teams.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Work directly with the Director of Marketing to identify new and recurring projects and initiatives; establish project goals, timelines, and budgets.
Act as project lead for assigned initiatives, coordinating stakeholders, vendors, and internal teams to ensure successful completion.
Take full ownership of assigned projects from planning through execution, including identifying next steps, coordinating contributors, and ensuring progress without requiring frequent direction.
Set priorities and develop timelines for ongoing projects; collaborate with internal teams and external vendors to ensure deadlines are met.
Oversee and perform end-to-end execution of the corporate tradeshow strategy including:
Asset planning and preparation
Shipment coordination
Vendor communication
On-site logistics planning
Post-event follow-up and reporting
Oversee the customer e-newsletter including content coordination, editing, layout, distribution, and performance tracking through the HubSpot platform.
Plan and execute marketing strategy and logistics for corporate on-campus events.
Plan and execute the Customer Survey program under the direction of the Director of Marketing and report results.
Manage external vendors and contractors to ensure deliverables meet project objectives, timelines, and quality expectations.
Follow established marketing workflows and approval processes to ensure accuracy and proper review of external communications and marketing materials.
Maintain clear project-tracking systems (such as Trello or similar tools), ensuring that deadlines, project status, and next steps are documented and communicated.
Create and implement processes for consistent project reporting and KPI tracking.
Other duties as assigned.

EDUCATION AND EXPERIENCE MINIMUM REQUIREMENTS
B.A. or equivalent experience in Marketing, Communications, or Business.
1–3 years of prior experience in marketing, project coordination, or event management.
Experience coordinating marketing projects or tradeshow programs preferred.
Strong proficiency in MS Office and common marketing tools/platforms.
ENVIRONMENT
Duties are performed indoors at the corporate offices in Grandview, MO.
Must be able to remain in a stationary position 75% of the time.
The person in this position will occasionally assist with retrieving, transporting, and coordinating tradeshow materials and marketing assets between the marketing department, shipping and receiving, and external display vendors.
This position may occasionally require travel to industry trade shows to support event planning, evaluate exhibit execution, or participate in marketing and customer engagement activities.
May occasionally move or lift marketing materials, displays, or equipment associated with tradeshow preparation (generally up to approximately 25–30 pounds).
The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, use stairs or elevators to access offices on other floors of building, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, computer printer, and phone.
The person in this position frequently communicates with others (internal and external) who may have various inquiries, etc. Must be able to exchange accurate information in these situations.
