The Leasing Coordinator/Compliance Specialist at Village at Lakewest IL

is responsible for overseeing leasing operations while ensuring full compliance with affordable housing regulations, including the

Low-Income Housing Tax Credit Program (LIHTC)

and other applicable federal, state, and local housing programs. This role combines advanced leasing responsibilities with compliance oversight to ensure that applicant certifications, resident files, and reporting requirements meet regulatory standards.

This position serves as the primary compliance resource for the property and works closely with management to ensure adherence to requirements established by regulatory agencies such as the

Texas Department of Housing and Community Affairs (TDHCA)

and other housing authorities. The Senior Leasing Coordinator / Compliance Specialist also supports audit preparation and ensures the property remains compliant and inspection-ready.

Compliance & Regulatory Oversight

Ensure full compliance with all requirements under the Low-Income Housing Tax Credit Program and other applicable affordable housing regulations.

Review and approve applicant files for eligibility prior to move-in, ensuring proper income and asset verification.

Process and oversee initial certifications, annual re-certifications, and interim re-certifications.

Maintain accurate and complete resident files in accordance with regulatory guidelines and company policies.

Conduct periodic internal file audits to ensure files are compliant and audit-ready.

Coordinate documentation and responses for regulatory audits and inspections conducted by agencies such as the Texas Department of Housing and Community Affairs and other oversight entities.

Monitor regulatory updates and communicate compliance changes to management and leasing staff.

Recertification Management

Track upcoming recertification deadlines and maintain a structured recertification calendar.

Prepare and send annual recertification notices at least 120 days prior to the household’s certification anniversary date, in accordance with LIHTC program requirements.

Send follow-up reminders and deficiency notices to ensure residents submit required documentation on time.

Collect and verify income, asset, and household documentation required for recertification.

Ensure re-certifications are processed, approved, and completed prior to the effective anniversary date to maintain compliance.

Compliance Reporting

Maintain and update compliance reporting systems required by regulatory agencies.

Provide monthly updates to CMTS unit status reports, ensuring all unit information such as occupancy status, move-ins, move-outs, transfers, and vacancy data are accurately reflected.

Review and verify that unit designations and compliance status are correctly documented before submission.

Coordinate with management to ensure reporting deadlines are met and records remain consistent with property management software.

Leasing & Occupancy Management

Coordinate leasing activities including property tours, application processing, and lease preparation.

Maintain applicant waitlists and ensure consistent processing in accordance with Dallas Housing Authority (DHA) reporting guidelines and Fair Housing standards.

Provide prospective residents with accurate information regarding program eligibility and community policies.

Coordinate move‑in and move‑out processes while ensuring all compliance documentation is complete.

Assist with lease renewals and maintain strong occupancy levels.

File Management & Documentation

Maintain organized physical and electronic resident files according to compliance standards.

Ensure all verifications, certifications, leases, and supporting documentation are complete and properly retained.

Track certification deadlines and maintain compliance logs.

Maintain documentation required for regulatory reporting and ownership review.

Administrative & Reporting Duties

Prepare leasing, occupancy, and compliance reports for management and ownership.

Maintain accurate resident records within property management software systems. Assist with preparation of reports required by regulatory agencies and ownership groups.

Support management in resolving resident concerns and maintaining positive community relations.

Qualifications

High school diploma or equivalent Experience required

3–5 years of property management experience, with affordable housing or LIHTC compliance experience required.

Strong knowledge of LIHTC eligibility requirements, income calculations, and certification procedures.

Experience preparing documentation for compliance audits and inspections.

Proficiency with property management software (Yardi, OneSite, AppFolio, or similar).

Strong organizational skills with the ability to manage regulatory deadlines.

Excellent communication and customer service skills.

Housing Credit Certified Professional (HCCP)
