Job Description Salary Range $77k - $85k. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

Hybrid Role This is a Hybrid role, requiring candidates to come into the San Juan Capistrano, CA office 3 x per week.

Responsibilities

Manage the asset service contract process from initiation, renewal, to retirement ensuring all agreements are in place. These steps include obtaining vendor quotes and internal approvals, processing a purchase order, forwarding completed service contract to all parties, and managing vendor invoicing.

Engage internal (Laboratory Operations and Procurement) and external (Vendors) stakeholders to establish appropriate levels of service for each asset during initial contract set‑up and perform periodic validation of service levels to ensure alignment with laboratory activities.

Troubleshoot asset downtime events and correlate against service contracts and pursue follow‑up actions as needed (reagent reimbursement). Escalate major issues where contract entitlements are not being met.

Request POs for service or purchase. Manage New Vendor Request process when applicable.

Manage RFP (Request for proposal process) and ensure compliance with Local Operating Unit Sourcing and Agreement Process – writing RFPs by researching new vendors, establishing scope of work, analyzing proposals, collaboration with laboratory operations, completing applicable documentation and ensuring both the vendor and Quest approvals are in place on the Service agreements and Non‑disclosure agreements. Document the decision with the Executive Summary.

Oversee instrument transfers between both sending and receiving BUs and ensure ACD forms are completed and approved, obtaining quotes for packing/shipping, request POs as needed.

Communicate in service notification, tag all new instruments received, notification of serial numbers, and ACD forms.

Engage Corporate Procurement on pricing and entitlements of service contracts, instrument inventories and the duration of agreements.

Notify Finance of monthly instrument in‑service events, P‑Card auditing and contract reports, maintain asset inventory by performing periodic audits to ensure accuracy and oversee the addition and retirement of assets as needed. Complete accurate data entry in asset management tracking database.

Lead Esoteric cross‑site Asset Management department calls.

Identify and support process improvement projects. Special projects as directed by business needs such as policy changes, SOPs, ICE testing, cost savings tracker, finance information requests.

Serves as the primary back‑up for the Asset Manager.

Required Work Experience Minimum of 2‑3 years’ work experience in asset management and procurement.

Knowledge

Knowledge of Laboratory operations

Working knowledge of Microsoft Office programs (Word, Excel, etc.) or equivalent

Strong Excel, MS Access, Tableau or related software knowledge is preferred

Quest Management System: Project Management, Six Sigma, and related laboratory asset knowledge is desired

Bachelor’s Degree Requires BA/BS in business administration, procurement, related field or 5 years on the job‑related experience
