
Human Resources Specialist

Role
Provides administrative and operational support for multiple human resources functions, with a primary focus on payroll and time and attendance processing. Responsibilities include assisting with payroll activities, supporting employee benefit programs and retirement plans, providing backup support for recruiting and onboarding processes, and maintaining HR records and systems. This role also performs a variety of administrative tasks to support day-to-day HR operations and requires a high level of accuracy, professionalism, and confidentiality when handling sensitive information.
Major Duties and Responsibilities 35%
Provide primary payroll support using the time and attendance system, including payroll processing (biweekly payroll, monthly incentives, and annual bonus), timecard review, processing team member changes (contact information, pay, direct deposit, deductions, etc.), and preparing reports. Complete biweekly 401(k) and monthly BalancedComp imports. Process tuition reimbursements and reconcile benefit invoices.

Provide administrative support for all employee benefit plans, including enrollments, changes, and terminations. Assist with coordinating the annual open enrollment process, respond to team member benefit questions, and process benefit updates. Assist with annual wellness screenings for team members. Support administration of the 401(k) and Defined Benefit retirement plans, including rollovers, distributions, loans, beneficiary audits, and contribution changes. Provide backup for FMLA, Short-Term Disability, and Workers' Compensation claims and assist with audit support.

Provide backup support for the recruitment process, including job postings, application review, interview scheduling, pre-employment screenings, new hire orientations, and processing new hires and terminations in applicable systems. Assist with internal job postings, promotions, employee transfers, and 90-Day Evaluations. Provide backup support for unemployment claims.

Provide administrative support including personnel file maintenance, document updates, HR intranet page updates, data entry, coordination of team member events, team member updates, mandatory 5-day tracking, credit card statement reconciliation, and coordinating flower orders.

Provide backup support for Board Liaison functions, including preparing board packets, coordinating travel arrangements, assisting with event planning, and maintaining board-related documents.

Knowledge and Skills Experience
Minimum of two years of related experience with processing payroll, benefits administration, HR operations, and ability to interpret and apply HR policies and employment laws.
Education/Certifications/Licenses
High School Degree or GED.

A significant level of trust and diplomacy is required to be an effective subject matter expert in the position. Ability to communicate information of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating, and/or advising others on matters of significance. Ability to develop and foster strong working relationships with team members and members to ensure we are achieving the overall mission and vision of the credit union. Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. High level of accuracy, attention to detail, and discretion when handling confidential and sensitive information. Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook. Must be bondable.

Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable, and timely attendance.
Working Conditions
Must be able to routinely perform work indoors in climate-controlled shared work area with minimal to moderate noise.
Mental and/or Emotional Requirements
Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand computer basics.
