Position Summary The Production Coordinator supports order fulfillment and manufacturing by owning the day‑to‑day administrative coordination that keeps orders moving smoothly from order receipt through shipment and documentation closeout. This role is ideal for someone who is naturally organized, thrives in a fast‑paced environment, and can juggle multiple priorities without letting anything slip through the cracks.

Key Responsibilities

Create, organize, and log shipping and receiving paperwork (e.g., packing lists, bills of lading, shipment packets, confirmations, etc.).

Input and track customer orders in company systems (ERP/order management), ensuring accuracy and completeness.

Coordinate internal follow‑up on missing or incorrect order information (pricing, product details, required documents, etc.).

Maintain clean digital filing systems for orders, shipments, and supporting documentation.

Support documentation closeout (ensuring completed paperwork is saved, logged, and retrievable).

Assist with general production and fulfillment coordination tasks as needed to reduce interruptions and keep operations running smoothly.

Support inventory/admin activities as assigned (basic logs, cycle count support, spreadsheet updates, etc.).

Required Skills & Qualifications

High proficiency with computers and day‑to‑day business tools:

Microsoft Excel (filters, sorting, basic formulas)

Microsoft Outlook (email organization, follow‑ups, attachments)

Comfort working with shared drives/cloud storage and scanning/PDF workflows

Ability to learn new systems quickly (ERP/order entry experience is a plus).

Proficiency using LLM tools (ChatGPT‑style tools) to improve speed/accuracy in drafting, organizing, and problem‑solving.

Strong multitasking ability, consistently following through on tasks.

Clear communication and a "close the loop" mindset.

Valid driver’s license required.

Training & Compliance Requirements Candidate must be able to successfully complete company‑required training and demonstrate competency in:

Forklift Operation (Within 30 Days of Hire)

Hazard Communication (Within 30 Days of Hire)

DOT Hazardous Materials (Within 60 Days of Hire)

IATA (Air) Dangerous Goods (Within 90 Days of Hire)

IMDG (Ocean) Dangerous Goods (Within 180 Days of Hire)

RCRA Hazardous Waste (Within 90 Days of Hire)

Work Environment

Very fast‑paced, high‑volume environment.

Frequent coordination between fulfillment, manufacturing, shipping/receiving, and leadership.

Mix of desk work and light warehouse interaction (paperwork, packets, coordination).

Preferred

Shipping/receiving documentation experience (BOL, packing list, freight paperwork, PODs).

Experience in manufacturing/warehouse operations or regulated materials environments.

ERP/MRP experience (any system).
