Job Description The Deputy Clerk III will be in the criminal division which shall include courtroom. Must be able to work under stress. This position is responsible for providing initial criminal court administration assistance to judges, attorneys, defendants, and court personnel. This class is responsible for preparing all necessary paperwork reflecting judge’s orders in criminal or, if necessary, civil proceedings. This will enable the Clerk’s office to operate effectively and securely with back-up to ensure continuity. The Deputy Clerk III must multitask and prioritize; they may start and stop tasks as needed. The ideal candidate has extensive circuit court knowledge and is trainable with prior general or juvenile domestic courtroom experience.

The Deputy Clerk III involves entering various data and information into state computer systems, including but not limited to case entry with certification of Juvenile Domestic and Relations and General District Court appeals, direct indictments and audit, researching guidelines, and composing and typing routine documents. This role organizes and maintains departmental records and updates the case management and financial management systems. The work follows a general outline with method development and supervision as needed. It includes document authentication of legal documents through certification, and preparation, gathering, and organization of required judicial paperwork in accordance with policies and statutes.

Performs duties at an advanced level based on circuit court knowledge and experience, including resolving hearings for various defendants. Understands processes for Circuit Court Capias when receiving and examining defendant paperwork. Coordinates placement of circuit court dockets for arraignments. Handles court reporters, defendants, and witness oaths, and transcribes judge’s orders swiftly and accurately. Reviews and examines violations in coordination with other agencies (e.g., Probation and Parole). Maintains chain of custody by accurately cataloguing evidence. Operates photocopy equipment, cashier registers, bar code scanners, document scanners, imaging stations, and record indexing/verification stations. Receipts fees, taxes, fines, restitution, and loads court costs for various matters into state systems. Customer service is essential and expected via email, telephone, and front counter.

Required Qualifications VOCATIONAL / EDUCATIONAL REQUIREMENT :

Requires a bachelor’s degree or any equivalent combination of education and experience in business administration, public administration, or a closely related field.

EXPERIENCE REQUIREMENT :

In addition to satisfying the vocational/education standards, a minimum of four years of related, full-time equivalent experience is required.

Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferred Qualifications

Criminal court division and courtroom with 2 to 4 years of combined experience preferred

Ability to accurately perform and pay attention to details, including managing competing priorities

Ability to multi-task at a high volume

Fast-paced working environment

Customer-relations with court-related background

Preferred experience with certifying case entry with JDR and GDC appeals, direct indictments and audit

Extensive experience with Microsoft products including Excel

Ability to draft legal documents

Experience handling confidential paperwork

Experience coordinating with team members

Experience with Database Systems
