Part-Time Marketing Proposal Coordinator
to support proposal development and InDesign production efforts. This position works directly with the Director of Marketing & Business Development and is focused primarily on preparing high-quality, compliant, and visually polished proposals. Approximately 85–90% of this role is dedicated to proposal development and document production using Adobe InDesign. The remaining time supports maintenance of proposal templates and marketing assets within the InDesign platform. This role is ideal for someone with a AEC marketing career who enjoys layout, formatting, organization, and transforming technical content into clean, compelling submissions. Key Responsibilities
Proposal Development & InDesign Production (Primary Focus)
Coordinate proposal production from RFQ release through final submission. Review solicitation requirements and format proposals for compliance. Develop and format technical content into clear, professional proposals using Adobe InDesign. Manage layout, graphics, and brand consistency across all submissions. Maintain proposal schedules and assist with deadline tracking. Update and maintain resumes, project sheets, and pursuit-specific materials in InDesign. Support interview presentation formatting and graphics as needed. Assist in refining proposal templates and standards as part of the firm’s InDesign platform transition. Qualifications
2–4 years of marketing or proposal experience in the AEC industry. Strong working proficiency in
Adobe InDesign (required). Experience formatting long technical documents with attention to detail. Proficiency in Microsoft Office (Word, Excel, PowerPoint). Excellent written and editing skills. Highly organized with the ability to manage multiple deadlines. Detail-oriented with strong visual layout sensibility. Professional and comfortable working with engineers and technical teams.
