Overview RoadSync is revolutionizing the logistics industry with intelligent, simple, and innovative financial solutions. Our digital platform streamlines payment processes for warehouses, carriers, brokers, and repair/tow operators, dramatically reducing processing time and maximizing revenue collection. We are looking for an Event Marketing Coordinator to be the face of RoadSync in the field. In this role, customers ride in the front seat. You’ll be responsible for bringing our brand to life at industry trade shows, conferences, and hosted events. This is the perfect launchpad for someone early in their career who has a passion for events and the grit to help us drive pipeline through high-impact, in-person marketing.

Responsibilities

Own the logistics: Support the planning and execution of RoadSync’s trade show and conference calendar, including booth logistics, shipping, vendor coordination, staffing schedules, and on-site setup.

Master the details: Build checklists and manage timelines to ensure every event is executed flawlessly.

Travel and coordination: Coordinate travel, hotel, and registration for event attendees, and serve as the primary point of contact for on-site logistics.

Sales partnership: Work hand-in-hand with Sales on pre-show outreach and ensure lead lists are ready for immediate follow-up.

Lead capture and impact: Manage on-site lead capture, ensuring data is accurately entered into our CRM for a seamless handoff to Sales.

Engage the audience: Assist in building pre- and post-event communications, including landing pages and email templates.

Measure success: Pull and summarize performance data to help the team measure ROI and continuously improve. Work cross-functionally with Sales and Customer Success to understand target audiences and help tailor event messaging accordingly.

Brand and culture: Represent the brand with energy and professionalism, telling the RoadSync story to everyone you meet.

Stay asset-ready: Manage inventory for swag, booth displays, and collateral, working with Design to ensure everything is "on-brand".

Vendor and budget coordination: Track every event expense against the budget and flag any variances, ensuring reporting is accurate and timely.

Manage the partners: Lead communication and timelines with booth, print, swag, and A/V vendors to guarantee everything arrives on time and as expected.

Build the playbook: Document and update all event activity, spend, and outcomes to build institutional knowledge and sharpen execution for the next big win.

Qualifications

You are a self-starter who cares about the details. You don’t need a decade of experience, but you do need a "can-do" attitude and a bias for action.

At least 1 year of hands-on event coordination experience — this can include campus events, student organizations, internships, volunteer work, or professional roles.

Exceptional organizational and project management skills; you naturally build checklists, track deadlines, and follow through without being reminded.

Strong written and verbal communication skills and a confident, professional presence when representing a brand in person.

A proactive, can-do attitude — you spot what needs to get done and do it without waiting to be asked.

Comfort working cross-functionally and communicating clearly with Sales, vendors, and internal stakeholders.

Basic familiarity with tools like Google Workspace, spreadsheets, or a CRM is a plus; willingness to learn new tools quickly is required.

High integrity, accountability, and a genuine passion for delivering superlative experiences for prospects and customers.

Willingness to travel as needed to support events throughout the year (estimated 15–25%).

Nice to have: Exposure to or genuine interest in the logistics, transportation, or supply chain industry.

Experience with tools like Salesforce, HubSpot, Eventbrite, or similar platforms.

Background in marketing, communications, hospitality, or a related field of study.
