We are a mission-driven nonprofit organization affiliated with the U.S. Department of Veterans Affairs (VA), supporting clinical research and programs that serve our nation’s Veterans. We are seeking a highly organized, detail-oriented Executive Assistant with strong accounting expertise to support the Executive Director.
This role requires professionalism, discretion, financial precision, and the ability to operate effectively in a federally affiliated environment.
Position Overview
The Executive Assistant serves as a trusted partner to the executive director while also managing core accounting and financial operations. The ideal candidate thrives in structured, compliance-driven settings and understands the importance of accuracy, confidentiality, and accountability in handling federal and grant-related funds.
Key Responsibilities
Accounting entries and reconciliations (QuickBooks)
Check writing and distribution
Coordination of bank deposits
Creation of timesheets and other spreadsheets (EXCEL)
Management/reconciling of leave and payroll
Attendance at Board meetings and composition of minutes (WORD)
Assistance with annual audits (GAAP)
Paper/electronic records management and documentation.
Managing correspondence (Outlook, memos, letters)
Qualifications
Strong accounting background (degree in accounting, finance, or equivalent experience preferred)
Experience in nonprofit accounting (grant management preferred)
Proficiency in QuickBooks
Advanced Microsoft Excel skills
Exceptional organizational and documentation skills
High degree of discretion and professionalism
Ability to work independently and prioritize in a regulated environment
Preferred Experience
Experience working in a VA-affiliated or federally funded organization
Familiarity with compliance requirements related to federal grants
