Senior Sales Analyst

The Sales Coordinator supports the Sales and Marketing team by managing administrative functions, coordinating sales processes, and ensuring accurate data management across systems including Delphi, Cvent, and Opera. This role plays a key part in lead management, reporting, client communications, and internal coordination to help drive group sales performance and maintain exceptional service standards. The Sales Coordinator ensures operational efficiency for the Sales Managers and contributes to the overall success of the sales team. Key Responsibilities Generate and distribute weekly prospecting lists from Delphi, including Tentative, Lost, and Past Definite accounts based on seasonal opportunities. Pull prospecting lists from Beyond Collection and distribute to the sales team. Build and input all Cvent and website leads daily. Assist in qualifying inbound business from phone and email inquiries. Log client interactions and activities in Delphi following sales trips. Run Daily Business Review (DBR) reports by 10:00 AM MT for all new leads entered the previous day to prepare Sales Managers for daily review. Prepare and distribute monthly revenue reports and assist with month-end processes. Generate attrition and cancellation reports for quarterly reviews. Maintain Delphi database hygiene, ensuring accurate account and contact information for all groups. Prepare and merge proposals, contracts, and invoices. Send turnover emails and ensure all related notes and documentation are uploaded and maintained in Delphi. Provide email coverage for Group Sales Managers while traveling. Create detailed SMYKM reports and site visit alerts for internal teams. Enter Opera traces for VIP clients and site visits, including special requests, allergies, amenities, and preferences. Send Discovery Visit alerts to relevant departments. Maintain event listings and third-party platforms with updated resort information, attachments, need dates, and promotions. Assist in planning itineraries for FAM trips and site visits. Support the preparation of presentations for sales trips and client meetings. Execute special projects with minimal supervision to support the Sales and Marketing department. Growth Opportunity After six months in the role, the Sales Coordinator may begin managing small groups with arrival dates within 60 days, supporting the sales team with group logistics and coordination. Qualifications Previous administrative or hospitality experience preferred, ideally within hotel sales or events. Experience with sales systems such as Delphi, Cvent, and Opera preferred. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Excellent written and verbal communication skills. Proficiency in Microsoft Office and database management systems. Good knowledge of food and wine. Experience at a luxury hospitality property preferred. Must be of minimum age to serve alcohol. Superior professional appearance and manner, good character to work in a fast-paced team. Ability to work a flexible schedule, including weekends and holidays, according to department needs. Ability to obtain relevant state and local government certifications, such as food handlers certificate or alcohol training certifications, as applicable to the position.
