The SS&P/Sales CRM Coordinator is responsible for driving CRM discipline, promo calendar accuracy, and deal visibility across the Sales organization. This role ensures that HubSpot deal creation, promotional tracking, and sales data integrity are executed with precision, enabling leadership to make informed, goal-oriented decisions. The position supports Vilore’s Road to a Billion by strengthening sales process compliance, improving forecasting visibility, and reinforcing accountability across the commercial team.
Responsibilities:
HubSpot Deal Creation & Governance: Create, update, and audit sales deals in HubSpot to ensure accuracy, completeness, and timely pipeline visibility.
Promo Calendar Management: Maintain and monitor promotional calendars, ensuring trade spend alignment, timeline adherence, and budget compliance.
CRM Compliance & Reporting: Enforce CRM standards across the Sales team and deliver recurring compliance and performance reports for leadership review.
Pipeline Visibility & Forecast Support: Support forecasting by validating deal stages, probabilities, required fields, and projected close dates.
Trade Spend & Budget Tracking Support: Assist with promotional investment tracking and planned vs. actual reconciliation in collaboration with Finance/Trade partners.
Process Documentation & Optimization: Maintain CRM and promo planner SOPs; identify opportunities to streamline workflows and reduce rework.
Cross-Functional Coordination: Partner with Sales, Finance, Trade Marketing, and Growth teams to keep promotional and deal data aligned across tools and reporting.
Qualifications:
2–4 years of experience in Sales Operations, CRM Administration, Commercial Coordination, or a related role.
Hands-on proficiency with HubSpot (or similar CRM); comfort creating deals, maintaining fields, and enforcing standards.
Experience managing promotional planners, trade calendars, or sales planning tools preferred.
Strong Excel skills and comfort working with structured data, reports, and trackers.
High attention to detail, consistent follow-through, and an improvement mindset.
Strong written and verbal communication; ability to collaborate across teams.
