Overview
The Events Marketing Coordinator is responsible for the independent execution and coordination of marketing and recruitment events supporting EIM’s university partner programs. This role owns assigned events end to end, managing logistics, timelines, vendor coordination, and on‑site execution with minimal day‑to‑day supervision.
Working in close partnership with the Events Marketing Manager and Product Marketing teams, this role ensures events are delivered professionally, on time, and in alignment with university partner expectations and enrollment objectives. This is a hands‑on execution role that requires strong judgment, attention to detail, and the ability to manage multiple events simultaneously.
Responsibilities
Pay $45,000-55,000
Independently plan and execute assigned events supporting university partner programs, including conferences, graduate fairs, partner-hosted events, webinars, and recruitment initiatives
Own event timelines, task lists, and deliverables aligned to program and enrollment goals
Make day‑to‑day execution decisions within defined scope, budget, and guidelines
Proactively identify risks or gaps and resolve execution issues as they arise
Coordinate all event logistics including registration, materials, shipping, travel support, and on‑site needs
Manage vendor communications related to venues, catering, A/V, and event services
Ensure all logistics are confirmed, documented, and executed accurately
Serve as the primary operational point of contact for assigned events
Lead on‑site execution for assigned events, including setup, registration, coordination, and breakdown
Serve as a point of contact for university partners, vendors, and internal teams during events
Ensure university partner branding and presentation standards are followed across signage and materials
Troubleshoot real‑time issues to ensure a smooth event experience
Coordinate with Product Marketing, Creative, and Content teams to ensure event assets are delivered accurately and on time
Align event execution with broader marketing campaigns and recruitment initiatives
Communicate status updates, needs, and timelines clearly to stakeholders
Track event expenses, invoices, and budget usage for assigned events
Coordinate ordering and inventory management of event materials and promotional items
Document event plans, timelines, and execution learnings to support repeatability
Support post‑event follow‑up, lead handoff, and reporting processes
Participate in event retrospectives and apply learnings to future execution
Qualifications
Bachelor’s degree in Marketing, Communications, Event Management, or related field, or equivalent experience
2+ years of experience in event marketing, marketing coordination, or project coordination roles
Demonstrated ability to manage event execution independently with minimal supervision
Strong organizational and time‑management skills with the ability to prioritize competing deadlines
High attention to detail and follow‑through
Strong communication and interpersonal skills
Ability to exercise sound judgment within defined objectives and guidelines
Comfortable working both independently and collaboratively
Willingness to travel occasionally for on‑site event execution
Familiarity with project management tools and basic budget tracking preferred
