Role Summary The Association Manager is responsible for the day‑to‑day management of a portfolio of 12–18 single‑family homeowner associations in Eastern North Carolina. This role serves as the primary liaison between the Board of Directors, residents, vendors, and IPS. The Association Manager ensures each association is managed in accordance with governing documents, Board direction, company standards, and applicable North Carolina requirements.

This position requires prior association or property management experience and strong organizational, communication, and problem‑solving skills.

Key Responsibilities Resident and Board Support

Serve as the primary point of contact for assigned associations, including residents and Boards of Directors Respond to resident and Board inquiries professionally and within company timelines Draft and distribute community communications, notices, and reminders De‑escalate resident concerns while supporting Board decisions and policies

Meeting Coordination and Preparation

Attend Board and Annual Meetings as assigned Prepare meeting agendas, management packets, and action item summaries Provide proactive Board updates and ensure follow‑through on action items

Compliance and Documentation

Support enforcement processes in accordance with governing documents and company policy Maintain consistent documentation of violations, notices, and follow‑up actions Coordinate escalation when authorized by the Board or company Maintain organized electronic files and accurate documentation in management software

Maintenance and Common Area Oversight

Conduct routine community reviews and document findings Coordinate repairs, preventative maintenance, and project updates Respond appropriately to emergencies and urgent after‑hours issues per company policy

Vendor and Contractor Management

Obtain bids and proposals per Board direction Monitor vendor performance, confirm completion, and validate invoices Track contract renewal dates and ensure vendor insurance compliance

Portfolio Expectations Maintain consistent communication standards across all assigned associations Prioritize urgent safety, maintenance, and service interruption issues Utilize standardized templates and processes for violations, ARC requests, and owner communications Maintain organized electronic records and complete documentation Provide proactive Board updates and clear project follow‑through Manage vendor scheduling and performance across multiple service cycles

Requirements Prior experience in association management is preferred Valid driver’s license and reliable transportation Ability to adapt to changing priorities and responsibilities Strong written and verbal communication skills Ability to manage multiple priorities and communities effectively Professional, calm, and solution‑oriented approach Comfortable working independently while collaborating with a team
