Job Title Athletic Director

Reports To Director of Operations

Supervision Yes (Administrator on Duty responsibilities, including scheduling, safety, and staff interactions)

Pay Type Employees (coaches) Contract Wkrs. If exempt: Professional, Salaried.

Compensation

Pay range: $58,656.00 - $65,000/yr.

Benefits: For employees contracted for 30 hours per week or more, the school pays 100% of base insurance premiums (Health, Dental, Vision, Long‑term & Short‑term disability, Accidental Death & Dismemberment, and Life insurance). No benefits are provided for employees contracted for less than 30 hours per week.

General Purpose The Athletic Director coordinates, implements, and evaluates the athletic program in conformance with school policies, Colorado High School Activities Association (CHSAA) rules, conference league policies, and the mission of Thomas MacLaren School.

Essential Duties and Responsibilities

Mission

Learn the mission of the school and its application to Athletics.

Positively represent the school at home and away sporting and non‑sporting events.

Represent the school and its mission to students, parents, colleagues, and the general public.

Compliance

Assure coaches and players adhere to CHSAA rules and that the program meets League and CHSAA regulations.

Verify all athletes are medically cleared, released by parents, and have paid the sports registration fee.

Collect and maintain on file a properly completed physical exam updated annually for every student participating in athletics.

Verify athletes’ academic eligibility for competition.

Provide training of coaching staff in coordination with Head of School and health team.

Ensure each varsity coach maintains an accurate inventory of equipment and materials and checks it at each season’s conclusion.

Ensure each team’s uniforms comply with NFHS requirements.

Assist in certification of coaching staff per CHSAA guidelines.

Prepare and maintain a master sports calendar that includes conference and non‑conference games/events.

Establish and enforce a safety protocol for after‑school practices.

Communication & Events

Work cooperatively with school staff and administration.

Develop a schedule of varsity, junior‑varsity, and middle school events per CHSAA and League regulations.

Attend monthly athletic conference meetings.

Conduct mandatory parent training each season—currently for new families only.

Coordinate athlete release times, attendance verification, and reporting.

Collect rosters for program information as needed.

Collaborate with Assistant Head of School – Student Life to run monthly student‑faculty athletic events.

Communicate with health office about physicals, injuries, and CPR/First Aid training for coaches.

Manage Athletic budget.

Supervision

Serve as “Administrator on Duty” at all home games or delegate to a trained administrator.

Develop and enforce an athletic/academic code of conduct consistent with school goals.

Oversee selection of coaches, coordinate with Human Resources for job postings, and lead interview and hiring process.

Evaluate all athletic programs annually and recommend improvements to the Executive Director.

Evaluate coaches annually and mentor their development.

Troubleshoot day‑to‑day operations of the high school athletic program.

Provide adequate practice and playing facilities.

Assume responsibility for student safety and welfare on campus.

Coordinate gym, building, and field use with appropriate site.

Orient coaches regarding site and school policies, procedures, and expectations.

Oversee equipment and uniform inventory maintenance.

Secure game workers for contests (officials, announcers, clock operators, etc.).

Maintain punctuality for all scheduled functions.

Confirm officials’ contracts and all non‑conference contest contracts.

Mediate resolution of problems and concerns among coaches and programs.

Supervise extracurricular activities when needed.

Assign additional duties as directed by the Executive Director.

Minimum Requirements

Bachelor’s degree (preferred) with administrative and/or coaching experience.

Excellent written and verbal communication skills, strong organizational ability, and detail orientation.

Strong interpersonal communication and organizational skills; solid working knowledge of school-based athletics, CHSAA, and conference league rules and procedures.

Strong computer skills including Microsoft Excel, Word, and Outlook.

CPR/First Aid/AED training (replacement provided if not current).

Experience Experience in sports management or coaching skills.

Physical Requirements

Occasional extreme cold or heat exposure.

Occasional visual acuity near/far.

Occasional heights, hearing, noise, speech, driving, eye/hand coordination, walking/uneven surfaces.

Travel: local; requires working alone.

Moving heavy items: seldom, occasional, frequent; lifting over 50 lbs, over 30 lbs, or 0-30 lbs for various tasks.

Operating machinery: lifting/lowing over 50 lbs, over 30 lbs, or 0-30 lbs; computer, copier, reaching, mouse, telephone, pushing/pulling tasks.

Other: pulling over 50 lbs, over 30 lbs, or 0-30 lbs.
