
Executive Administrative Assistant - Real Estate

Summary
This role supports the CEO of a rapidly growing company that is actively acquiring and developing real estate tied to its operating footprint. The position will serve as a central coordination point for real estate transactions, documentation, scheduling, and communication with attorneys, lenders, brokers, and internal stakeholders. The ideal candidate will have experience supporting real estate transactions in an administrative, paralegal, legal assistant, or real estate office setting. This is not a legal role, but familiarity with real estate documents, closings, due diligence materials, and transaction coordination will be important. The position requires someone who is highly organized, detail oriented, and comfortable operating in a fast moving environment where multiple acquisitions and projects are happening simultaneously. Responsibilities
Provide direct administrative support to the CEO related to real estate acquisitions and projects Coordinate documentation and communication between attorneys, brokers, lenders, title companies, and internal teams Track acquisition timelines, closing milestones, and due diligence items across multiple properties Organize and maintain transaction files including contracts, amendments, leases, title work, and closing documents Assist with preparation and review of basic transaction documentation for internal tracking purposes Manage calendars, meetings, and scheduling related to property acquisitions and financing discussions Coordinate information requests from lenders, legal counsel, and real estate partners Maintain organized digital records and assist with document management related to acquisitions Support the CEO with general administrative responsibilities as needed Qualifications
3+ years of administrative, legal assistant, paralegal, or real estate office experience Familiarity with real estate transactions, contracts, closings, or due diligence processes Strong organizational and document management skills Ability to manage multiple projects and deadlines simultaneously Comfortable interacting with attorneys, lenders, brokers, and senior executives Strong written and verbal communication skills Proficiency with Microsoft Office and digital document systems High level of discretion and professionalism when handling confidential information Compensation
