
Communications Coordinator

The communications coordinator provides communications and administrative support to the EVP of Communications and marketing/communications team. The role is responsible for executing day-to-day digital and strategic communications activities and ensuring the communications team operates efficiently.
Essential Functions Communications
Publishes social media content on behalf of the BIO Communications team, including scheduling and coordinating approvals to ensure timely delivery.
Manages website content updates by posting press releases, comment letters, and other organizational communications.
Works with external vendors and IT to track, analyze, and report communications metrics.
Provides light project management support for creative requests — including logos, slide assets, and design deliverables — coordinating between the creative designer and requesting teams to manage timelines and ensure quality outputs.
Maintains and updates media contact lists, ensuring accuracy and completeness of media databases to support targeted outreach and ongoing media relations efforts.
Monitors and curates media coverage daily by managing the subscription, pulling relevant media clips, and distributing clips to the team.
Coordinates campaign logistics by managing project timelines, scheduling video shoots, and facilitating engagement and communication with interview subjects and campaign participants.
Develops slides for relevant BIO working group and task force meetings, coordinating with leadership to develop agendas and ensure materials are accurate, polished, and delivered ahead of scheduled meetings.
Assists with meeting minutes and notes, capturing action items from BIO working group and task force meetings.
Supports operations for designated working groups, including maintaining membership lists, drafting and distributing meeting invitations, and tracking RSVPs and attendance.
Administrative
Provides administrative support to the EVP, Chief Communications Officer, including calendar management, meeting coordination, and expense management.
Processes and routes contracts, invoices, and administrative documents in a timely and organized manner, ensuring proper approvals, accurate coding, and compliance with organizational procedures.
Education and Experience
Bachelor's degree in communications, Public Relations, Journalism, Marketing, or a related field
0-3 years of experience in communications, public relations, or a related field, preferably within a corporate, nonprofit, or healthcare/life sciences environment
Experience providing administrative or operational support to senior-level leader desired.
Experience coordinating social media content and digital communications activities.
Knowledge, Skills and Abilities
Knowledge of digital communications principles, social media platforms, and content best practices
Knowledge of project management principles and workflow coordination
Knowledge of executive administrative support functions, including calendar and correspondence management
Familiarity with communications metrics, reporting tools, and analytics platforms
Strong written and verbal communications skills, with the ability to draft clear, compelling, and on-brand content
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms
Familiarity with digital and design tools including Canva, Figma and/or Adobe
Skill in developing polished presentations, agendas, and meeting materials for senior leadership
Skill in managing multiple priorities, deadlines, and competing demands with accuracy and attention to detail
Physical Requirements
Sitting/Standing: Remaining in a stationary position for extended periods (sitting at a desk, standing at a counter).
Reaching: Reaching for items on shelves or in cabinets.
Lifting/Carrying: Moving boxes, files, or other office equipment up to 15 pounds.
Using Hands/Fingers: Operating a computer, keyboard, mouse, and other office equipment.
Vision: Close vision for computer work and detailed tasks.
Fine Motor Skills: Using a mouse, keyboard, and other small office tools.
Travel Requirements
