Job Description – Site Leader – Position Profile The Site Leader is responsible for the daily operations of a small on‑site Imaging Services location and serves as the primary point of contact for both customers and internal leadership. This role supports a small team, ensures customer service expectations are met, and assists in maintaining acceptable profit levels. The Site Leader handles customer issues, oversees contract compliance, and performs all contracted imaging services when no Site Manager is assigned.

Job Duties And Responsibilities: Operational Responsibilities

Manage daily operations of on‑site Imaging Services for client records.

Perform full‑performance level work converting hard‑copy documents into electronic imaging formats.

Prepare documents for scanning (remove staples, clips, rubber bands, etc.).

Review paper documents against digitized files to verify image quality and check for missing pages.

Validate and correct image/document errors as required.

Maintain productivity and quality standards according to company guidelines.

Review each scanned record for accuracy and clarity.

Team & Customer Leadership

Serve as the go‑to person for a small team, supporting task assignments, project scheduling, and break management.

Escalate facility‑related issues to assigned leadership.

Act as the primary on‑site contact for customer issues and contract compliance (for sites without a Site Manager).

Handle daily formal communication with the customer.

Provide training and development for site personnel.

Assist the Field Manager with employee development activities.

Service Excellence & Compliance

Implement and manage Ricoh Service Excellence programs.

Analyze and resolve operational issues with minimal guidance.

Understand Service Level Agreements, track progress, and report compliance to customer key contacts.

Maintain positive internal working relationships through professional communication.

Provide training on workflow and equipment operations as needed.

Financial & Workflow Management

Achieve shift‑level profitability by supervising proper use of materials and supplies.

Meet quality and deadline standards through effective job scheduling.

Maintain efficient workflow by holding team members accountable for accuracy and efficiency.

Support pricing and order‑related issue resolution in partnership with the sales department.

Reporting

Complete site reports and required paperwork accurately and on time.

Prepare month‑end management reports in the absence of the Site Manager.

Other

Perform other duties as assigned.

Qualifications (Education, Experience, Certifications)

High school diploma or GED required.

1 to 2 years of experience in a related field (B2B and/or technical environment).

1 to 2 years of customer‑facing experience required.

Previous training experience strongly preferred.

Demonstrated proficiency with technology and equipment.

Knowledge, Skills, And Abilities

Tactical understanding of operational processes.

Ability to present information to small groups.

Moderate problem‑solving skills.

Intermediate customer service skills.

Intermediate technical aptitude.

Strong verbal and written communication abilities.

Working Conditions, Mental & Physical Demands

Office environment with standard lighting, ventilation, and noise levels.

Work assignments require interpreting, comprehending, and applying complex instructions and information.

Some physical effort required; mostly sedentary with walking, standing, bending, reaching.

Lifting or carrying objects up to 50 lbs (documents, files, small parts, etc.).

Regular use of tools requiring moderate dexterity (keyboard, calculator, hand tools, eye/hand coordination).
