This will be an onsite role, 5 days a week. About Perosphere Technologies

Perosphere is an emerging medical device company which designs, develops and manufactures a diagnostic medical device with addresses an unmet need in a critical medical market. The company’s technology provides an innovative approach to management of critical medical conditions related to hemostasis, i.e., blood coagulation and therapeutic anticoagulation. The Senior Quality Engineeer will play a central and key role in the company’s global market penetration by leading ambitious programs for both company and device certifications and registrations in the USA and on a global basis. The incumbent is a key member of middle management and works side-by-side with the Executive Leadership Team to plan, execute and deliver on these strategic objectives. Customer Service Representative

Perosphere Technologies is seeking a detail-oriented and proactive Customer Service Representative (CSR) to support our hospital customers and distribution partners. This role is responsible for processing customer orders, coordinating product fulfillment with distributors, and ensuring accurate and timely updates within our ERP and sales order systems. The ideal candidate is organized, responsive, and comfortable working in a regulated medical diagnostics environment where accuracy and professionalism are critical. What You'll Do:

Customer Order Management

Receive and process hospital customer orders via phone, email, and online systems. Verify order details for accuracy, including product codes, quantities, pricing, and shipping information. Enter and maintain sales orders in the ERP system. Provide order confirmations and proactive status updates to customers. Coordinate order fulfillment with authorized distribution partners. Confirm inventory availability and shipping timelines. Track shipments and ensure timely delivery to hospital customers. Resolve fulfillment discrepancies, backorders, or shipping issues in collaboration with distributors. Generate packing lists and shipping documentation. Coordinate shipments with Operations personnel. Record tracking numbers and delivery confirmations in ERP and internal trackers. Assist with international shipment coordination and export documentation when required. ERP & Systems Management

Accurately enter and update sales orders, customer records, pricing, and shipping details in the ERP system. Maintain up-to-date customer account information. Support reporting related to order volume, backorders, and customer activity. Assist with reconciliation of order discrepancies and documentation. Maintain ERP accuracy for customer accounts, pricing, and shipment records. Run reports for order tracking, shipment status, and backlog as requested. Assist with reconciliation of discrepancies between ERP, shipping records, and distributor confirmations. Customer Support & Issue Resolution

Serve as a primary point of contact for hospital customers regarding order status, documentation, and inquiries. Troubleshoot and elevate issues related to shipping, product availability, or documentation. Maintain clear, professional communication aligned with healthcare industry standards. Cross-Functional Collaboration

Work closely with Sales, Operations, Quality, and Finance teams to ensure seamless order processing. Support documentation needs related to compliance and regulated product distribution. Assist with special projects related to process improvement or system updates. Education and Experience:

Bachelor of Science in Chemistry, Biology, Medical Technology, or related area from an accredited four-year college or university. Advanced degree MS is a plus in this position but not required Minimum of 3 to 5 years experience working in a regulatory submissions or compliance capacity in a regulated medical industry, preferably the Medical Devices industry Qualifications

Required

Associate’s or Bachelor’s degree 2+ years of customer service or order management experience (healthcare or medical device industry preferred). Experience working with ERP- based order fulfillment systems (e.g., NetSuite, SAP, Oracle, or similar). Strong attention to detail and data accuracy. Strong proficiency in Microsoft Excel and Microsoft Office Excellent written and verbal communication skills. Preferred

Experience with medical device and or regulated industry Experience supporting hospital or laboratory customers. Familiarity with medical device or diagnostic product distribution processes. Understanding of regulated environments (FDA, ISO, etc.). Strong organizational and multitasking skills. High level of accuracy and data integrity. Problem-solving mindset.
