
Clerical Specialist 1 Deeds

Job Summary
Under the general supervision of the Register of Deeds and the Deputy Register of Deeds, responsible for performing clerical duties in the processing of real estate documents and plans for recording in accordance with Maine statutes and policies and procedures established by the Register of Deeds.
Essential Duties/Responsibilities
Sets up cash drawer and/or sets up public work stations each day
Greets the general public in a polite manner
Assists members of the general public with finding a copy of a document or plan
Answers incoming telephone calls and answers questions; refers to supervisor for further action when necessary
Receives, checks for validity, and records land documents and plans; refers to supervisor for further action when necessary
Processes transfer tax form information on Maine Revenue Services web site
Prepares certified copies as necessary
Prepares return notices for unrecordable documents
Indexes documents including date, location, marginal references, grantors and grantees, return address
Assists with proofreading of the indexing of documents
Scans documents to create a digital image of each page
Verifies and compares original documents with digital image, checking for clarity and completeness prior to returning original documents to submitters
Prints reports and indexes
Returns documents to submitters when the recording process is complete
Maintains confidentiality of sensitive information
Performs other related duties as required
Knowledge/Skills/Experience Required Education: High school diploma or equivalent
Experience None required
Skills
Basic typing skills
Light duty lifting
Must have basic understanding of and ability to communicate in English
Must be willing to learn new things and be able to adjust as technology and Maine laws and their interpretation change
Ability to work with the public in a pleasant manner
Must be detail oriented
Knowledge/Skills/Experience Preferred
Real Estate paralegal experience
Understanding of Maine law as it pertains to real estate and transfer tax exemptions
Proficient in computer use and terminology
Physical Demands/Conditions/Requirements
Must be able to perform light duty lifting (up to 25 lbs.)
Must be able to sit and/or stand for long periods
Must be able to use a computer terminal for long periods
Must be able to project a welcoming manner to the general public in appearance, speech and demeanor
