Global Marketing Events Coordinator

We are seeking an organized, proactive and detail-oriented Marketing Events Coordinator to support the planning and delivery of exemplary in-person, virtual, and hybrid events. Working closely with the firm’s global marketing events and business development teams, but also independently with firm lawyers to ensure successful client-facing events in support of the firm’s objectives.

Events include, but are not limited to, client dinners, virtual events such as webinars and roundtables, in‑person conferences and symposia (both firm‑hosted and those with firm participation or sponsorship), social, sporting, and other events as assigned. With flexibility of style and ability to multi‑task in a fast‑paced environment, the Marketing Events Coordinator will deploy meticulous attention to detail and deliver an exceptional standard of service to all events.

Duties & Responsibilities

Support the end-to-end planning and execution of a diverse event portfolio from initial briefing through to post-event evaluation.

Provide administrative and tactical support across the marketing events team, including creating and managing invitations, maintaining accurate event data, RSVP lists, coordinating digital assets, overseeing print materials, vendor details, budgets, post-event reporting and supporting other event-related tasks as required.

Coordinate event logistics, working closely with venue teams, conference services, and virtual event platforms to manage room set‑ups, a/v and virtual production requirements, branded materials, speaker coordination, attendee experience, and event timing.

Provide on-site and live virtual support to ensure seamless delivery and a positive experience for speakers, guests, and internal stakeholders.

Research venues and suppliers, develop and maintain strong relationships across a range of locations and price points, and keep venue and vendor files and contact details up to date.

Work closely with the senior marketing events team to support the negotiation and management of contracts with venues and suppliers.

Collaborate with cross‑functional internal stakeholders including, Design, Communications, Digital Marketing/CRM, Client Services, DEI and IT to ensure aligned and effective event delivery.

Act as a resource on available event formats, evaluating the goals and objectives of presenters and advising on the most appropriate approach for the target audience.

Stay informed of event trends and best practices within the legal industry and contribute ideas and insights to the team where appropriate.

Perform other duties as assigned by Firm management.

Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access.

Qualifications:

Minimum of two years of event planning and project management experience in a corporate environment, preferably a law firm or professional services organization.

Demonstrated experience in delivering in person and virtual events.

Good knowledge and network of venues and suppliers.

Highly service‑oriented, with the ability to work effectively with lawyers, professional services colleagues, and external vendors across all event formats.

Strong collaboration skills, with the ability to work both independently and as part of a team.

Excellent organizational skills with a high level of attention to detail, accuracy and timelines.

Ability to manage numerous competing priorities, adapt as needed and exercise sound judgment.

Calm and effective under pressure in fast‑paced, live‑event environments.

Strong technical prowess, analytical, and problem solving skills.

Proficient in Microsoft Office with experience using CRM systems and email marketing/event invitation platforms, preferably Salesforce and Pardot.

Excellent verbal and written business communication skills.

Ability to quickly learn and adhere to protocols and procedures within a large, complex organization.

Flexible approach to working hours to support events when required (e.g., early morning or evening events to accommodate various time zones).

Status: Non-Exempt Reports To: Associate Director of Events Workplace Type: Hybrid (DC) Salary range is $63,000 – $79,000 depending on candidate experience and location.
