$35,640-$49,920/year

The Sales Department Administrative Assistant is often the first contact that the customer has with the Sales Department. The primary responsibilities of this position include:

Answering phones and replying to inquiries in a pleasant and customer‑service oriented manner, giving as much information as possible before transferring to the Sales Coordinator;

Retrieval and distribution of phone messages;

Distributing mail and faxes;

Filing;

Keeping catering packets made and in stock, maintaining inventory and ordering new office equipment as needed;

Coordinating with phone & equipment maintenance services;

Writing daily events on white board;

Producing correspondence, copying and faxing as necessary;

Creating and distributing weekly packets with contracts for upcoming events;

Mailing customer response sheets at the conclusion of each event for all locations;

Replying to customers’ e‑mails when possible and distributing all else;

Attending bi‑weekly sales meetings;

Occasionally working in other departments on the property.

This position requires mental agility and the ability to effectively multi‑task in a fast‑paced and deadline‑oriented environment. Individuals must be able to work well independently and as part of a team, perform physical tasks such as walking, stair climbing, lifting, and handle small and large objects, and keep the work area safe. All McMenamins employees are expected to stay current on all company events, history, and products. Additional duties may be assigned by the Manager on Duty.

Requirements of the Job

Previous related customer service or administrative experience (preferred);

Experience with high‑volume phone lines (preferred);

Experience with Opera Cloud or similar booking software (preferred);

Excellent customer service, communication, and phone skills;

Previous experience with Microsoft Office Suite;

Excellent organizational and prioritizing skills;

Flexible schedule including days, evenings, weekends, and holidays (required).

Essential Functions of the Job

Provide excellent customer service in a high‑volume environment;

Work for long periods on feet, frequent walking, stair climbing;

Perform fine hand manipulation, including handling small and large objects, computer keyboard usage, and writing;

Be positive, polite, and cooperative with co‑workers, managers, and customers;

Safely lift and carry heavy objects with a hand truck or assistance if necessary;

Assist with Sales Department job duties as directed by the manager;

Work with chemicals used in cleaning and sanitizing.
