Legal E-Billing & Appeals Specialist
Carlton Fields is seeking a Legal E-Billing & Appeals Specialist. This is a high-visibility role with direct exposure to attorneys and firm leadership. You will directly impact the Firm's realization, cash flow, and profitability by reducing write-downs and improving compliance with Outside Counsel Guidelines. The Legal E-Billing & Appeals Specialist plays a critical role in safeguarding the Firm's revenue by monitoring e-billing platforms, identifying invoice reductions, and driving a high-quality appeals process. Reporting to the Billing Manager and working closely with the Director of Legal Project and Practice Management, you will build deep relationships with attorneys and Finance to resolve invoice issues, improve guideline compliance, and contribute to firmwide billing best practices. Duties & Responsibilities: Appeals ownership: Manage the end-to-end appeals process for client invoices, from issue identification through final resolution and tracking. Draft clear, persuasive appeal narratives for attorney review and approval to optimize success rates and recoveries. Monitor and manage appeal deadlines across multiple e-billing platforms to prevent forfeiture of appeal rights and maximize recovery opportunities. Maintain a detailed appeals log, tracking status, outcomes, and aging for short-paid and rejected invoices. Stakeholder communication: Serve as a primary Finance contact to attorneys and staff for invoice reductions, rejections, and appeal strategy, providing clear guidance on options and next steps. Coordinate with attorneys, paralegals, secretaries, and billing staff to obtain supporting information and documentation needed for effective appeals. Communicate consistently and proactively on appeal status and outcomes to Billing, Collections, and client teams. OCG and compliance / prevention: Stay current on client Outside Counsel Guidelines; summarize key requirements and communicate them to attorneys and billing teams. Identify recurring causes of invoice reductions or rejections and recommend practical changes to timekeeping, matter setup, and billing processes to reduce future write-downs. Partner with Billing/Finance and Pricing/LPM to align appeal and write-off prevention efforts with firm billing policies and client expectations. Reporting and continuous improvement: Prepare reporting to share insights with Finance and LPM. Participate in process-improvement and training initiatives related to billing and OCG compliance. Perform other projects assigned by the Billing Manager and Director of Legal Project and Practice Management. Qualifications: Bachelor's degree in accounting, finance, business, or related field preferred. JD a plus. Experience collaborating with LPM, pricing, or client relationship teams on billing and OCG compliance preferred. Minimum of 3-5 years legal e-billing or appeals experience with electronic billing or appeals, preferably in law firm environment. Knowledge of 3E and eBillingHub a plus. Hands-on experience and advanced skills utilizing major e-bill vendor portals (e.g., TyMetrix 360, Collaborati, Legal Tracker/Serengeti, CounselLink) required. Strong analytical skills with the ability to identify patterns in invoice reductions and translate findings into practical recommendations. Exceptional attention to detail and accuracy in a high-volume environment. Excellent written and verbal communication skills, including the ability to draft concise, persuasive appeal narratives and explain complex billing issues to non-finance stakeholders. Proven ability to manage multiple deadlines and priorities in a fast-paced, client-driven environment. Advanced proficiency with MS Excel and strong skills in Word; comfort learning new finance and e-billing tools. Flexible to work overtime as required during peak billing/appeals cycles. Actual salaries will vary depending upon various factors, including relevant experience and skillset.
