We are seeking a highly organized and proactive Executive Assistant to serve as the right hand to the Agency Owner. This role plays a critical part in ensuring the agency operates smoothly day-to-day by managing office systems, supporting team members, and maintaining operational structure.
The ideal candidate is detail-oriented, dependable, and thrives in a fast-paced professional environment. This position requires strong organizational skills, sound judgment, and the ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality.

Responsibilities
Serve as the primary administrative and operational support to the Agency Owner
Manage and maintain the Agent’s calendar, scheduling, and priority tasks
Prepare and track daily, weekly, and monthly agency activity reports
Monitor agency performance metrics and assist with reporting and accountability
Coordinate onboarding and offboarding of team members
Manage employee records, time off tracking, and assist with payroll preparation
Track operational and compliance deadlines to ensure agency requirements are met
Support hiring processes including reviewing applications and scheduling interviews
Maintain organization of internal processes, documents, and office systems
Assist with marketing initiatives, customer communications, and agency projects
Coordinate internal meetings, team events, and office logistics
Ensure the office environment remains organized, professional, and efficient
Provide occasional support to customer service and team members when needed
Qualifications
3+ years of experience in administrative, executive assistant, office manager, or operations support roles
Highly organized with strong attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities and meet deadlines
Strong problem‑solving skills and proactive mindset
Comfortable working with reports, spreadsheets, and office systems
Ability to work independently and take ownership of responsibilities
Professional demeanor and ability to maintain confidentiality
Bilingual Spanish preferred
Compensation $58,000.00 - $70,000.00 per year
