Position Summary The Commercial Escrow Officer (on site) prepares all documents associated with the processing and closing of escrow, conveyance of title, recording of documents, clearing of title requirements, and issuance of title insurance for closings of complex, multi-site and/or multi-state deals involving high-dollar-value commercial, mixed-use, and or multi-family properties located throughout the United States in areas where the agency is licensed or qualified to transact business. This role also develops and maintains business by utilizing marketing and customer service techniques.
Your Responsibilities on the Team
Experience closing simple & complex commercial transactions required
Communicates with title examiner and underwriter to address attorney objection letters
Communicates and coordinates daily responsibilities with the Commercial Services Manager
Prepares supporting documents for signing
Audits and closes file when all funds and documents are received
Instructs the disbursement of funds
Writes escrow instructions consistent with the requirements of the parties and obtains their approval where appropriate with market standards; otherwise, complies with instructions provided by the parties
Estimates the amount of money required to close escrow and obtains buyers' and sellers' deposits
Reviews commitment and/or preliminary title report to verify vesting and legal description
Reconciles discrepancies between instructions and title report with title officer and/or principals
Orders beneficiary statements or demands, fire insurance, loan interest, rents and other prorated items
Prepares settlement statements
Maintains confidentiality of all proprietary information and escrow transactions
Understands and complies with escrow accounting procedures
Understands and complies with Good Funds Law
Solicits business in‑person, in development functions or activities or virtual
Knows Rate Manual and quotes accurate fees
Sustains agency’s ALTA Best Practices’ compliance and certifications
Obtains over‑limits approvals for transactions which exceed the agency’s limits
Stays current regarding new laws and procedures
Other duties and responsibilities as assigned by supervisor
Involvement in title industry associations
Requirements
Minimum 3 years commercial transactional experience and background
Notary Public
Appointments as licensed title agent in assigned jurisdiction(s)
Extensive title insurance industry experience and background, preferably in underwriting or claims
Knowledge of title insurance laws and regulations in assigned jurisdiction(s)
Knowledge of real property closing procedures and customs in assigned jurisdiction(s)
Good knowledge of the latest version of MS Office and the ability to word‑process, work with spreadsheets, and use the proprietary applications of the company as assigned
Effective written and oral communication skills

Physical & Office/Site Presence Requirements Regular, in‑person attendance at company communities/job sites and offices during regular work hours is an essential function of this job. Requires the ability to work more than eight hours per day in the confined quarters of a construction trailer, the ability to operate a motor vehicle, read plans, climb stairs and ladders, bend, stoop, reach, lift, move and/or carry equipment which may be in excess of 50 pounds. Job may require occasional operation of construction equipment. Finger dexterity may be required to operate a computer keyboard and calculator.
