Environment Our client is a dynamic specialty pharmaceutical company engaged in the research, development, manufacture, marketing, and sale of prescription pharmaceutical products. They’re a leading developer of advanced transdermal drug delivery technologies and prescription transdermal products.

Overview Serve as the CEO’s Liaison/Translator/Interpreter converting written (translation) and spoken (interpretation) information between English and Japanese, ensuring accuracy, tone, and context are maintained. Responsibilities include facilitating real‑time verbal communication, translating documents, managing terminology databases, and adhering to confidentiality protocols, typically requiring high fluency in both languages. This liaison role must be detail‑oriented and able to convert written materials from one language to another while preserving the original meaning, tone, and format. You will work with diverse documents.

Responsibilities

Translate documents (emails, reports, legal documents) while maintaining the original style, format, and technical terminology.

Provide consecutive or simultaneous interpretation for meetings, conferences, interviews, or phone calls.

Ensure precise conversion of messages, ensuring that cultural nuances are accurately communicated.

Strictly adhere to ethical standards and confidentiality agreements.

Proofread and edit final translations for grammar, spelling, and punctuation.

Ensure content is culturally sensitive and localized for the target region.

Manage multiple deadlines and coordinate with internal teams to clarify project requirements.

Support the CEO and his executive team by providing timely responses to requests for assistance. Build and maintain excellent relationships and communications with the Executive Team members, all staff and external contacts.

Coordinate weekly and monthly meeting logistics and prepare the meeting materials for dissemination.

Coordinate Executive Team Staff Meeting materials are prepared and distributed to the appropriate parties. Ensure video conference/teleconference arrangements are set up prior to the start of the meeting and meeting materials are provided in a timely manner.

Translate, prepare, and distribute original correspondence requiring some technical knowledge for internal and external communication. Coordinate incoming departmental correspondence, determine priorities, and route to the appropriate personnel.

Manage and assist in the budget process for the Office of the CEO.

Review outgoing departmental correspondence to ensure accuracy and compliance with company protocol; advise on corrective procedures as necessary.

Accompany the CEO during all business trips four times per year with a duration of 3 days each. Serve as his interpreter and translator.

Ensure project commitments made by the CEO are understood and sufficiently staffed and developed.

Requirements

Proficient in English and Japanese both with verbal and written capabilities.

Bachelor’s degree or five years or more professional experience at an executive administrator level. Technical education or specialized training in similar fields are preferred.

Able to apply simple mathematics and formulas.

PC literate with advanced proficiency in MS Office application software. Professional certification from the American Translators Association (ATA) or similar body is preferred.

Proficiency with MS Office, translation software (CAT tools), and, for interpreters, familiarity with headset/microphone systems.

Exceptional listening and speaking skills.

High levels of concentration, excellent listening and memory retention, cultural sensitivity, and the ability to work under pressure with tight deadlines.

Exceptional attention to detail, strong time‑management, and high ethical standards regarding confidentiality.

Work Environment

Air‑conditioned office environment. Majority of time spent sitting at desk, operating computer and talking on the phone. Will be required to travel at least 4 times per year.

Physical Demands

Occasionally required to lift objects weighing up to twenty pounds. Visual and manual dexterity required to operate computer and proofread documents.
