Professionally answer, forward, and log incoming calls as directed by the Central Business Office (CBO) Manager or Supervisor.

Understand insurance and patient responsibilities related to account balances and billing.

Resolve verbal and written patient account inquiries and escalat[e] complex issues to Leads, Accounts Receivable, or supervisors when necessary.

Accurately process patient payments and apply them to accounts.

Manage and forward incoming mail following department protocols.

Document all communication related to patient accounts in the billing system.

Collaborate with other departments to address and resolve account inquiries effectively.

Provide feedback on changes in payer plans, contracts, or billing information to the CBO team.

Maintain strict compliance with HIPAA regulations.

Assist with additional tasks as assigned when not managing inbound calls.

Required Qualifications

High school diploma or GED.

Minimum of one year of customer service experience.

Preferred Qualifications

Proficiency with computer systems, including Windows-based technologies.

Experience in a call center or phone-based role.

Familiarity with medical billing, insurance processes, or healthcare front desk operations.

Strong problem‑solving skills with the ability to work independently.

Excellent interpersonal, verbal, and written communication skills.

Ability to handle challenging situations with professionalism and positivity.

Experience managing sensitive information discreetly and securely.

Working Conditions/Physical Demands

Office environment with extended periods of sitting.

Ability to lift up to 35 lbs.

As a Customer Service Representative, you will be the first point of contact for patients with billing questions. You’ll provide clear, compassionate assistance while working closely with billing and insurance teams to ensure accurate and timely resolution of account concerns.\nKey Responsibilities

Receive all incoming billing calls with courteous, accurate, timely service for resolving patient issues, and making arrangements to collect and receive payments on patient accounts after their services.\nEducate patients on the various financial assistance opportunities\nProvide accurate information on their medical bills as to why they have a balance - examples such as copays, coinsurance and deductibles, incorrect insurance information etc.\nMaintain detailed records of customer interactions and transactions in the system.\nCollaborate with the medical office team to ensure accurate balances.\nStay updated on changes in medical terminology and coding standards to provide informed assistance.\nHandle sensitive patient information with confidentiality and professionalism\nNegotiate settlements with patients in accordance with policy\nUpdate requests made by the patient into the system to ensure documentation trail exists\nExplain insurance benefits, balances, and payment options\nResearch and resolve account discrepancies and escalated issues\nProcess payments and set up payment plans when needed\nDocument all interactions in the billing system\nCollaborate with billing, coding, and payment posting teams\nEnsure compliance with HIPAA and all applicable regulations.\nQualifications

High school diploma or equivalent required\n1+ year of experience in medical billing, healthcare customer service, or a related field\nStrong communication skills with the ability to convey complex information clearly.\nAbility to work effectively both independently and as part of a team within a dynamic environment.\nKnowledge of insurance terminology and billing processes preferred\nExperience with EHR or billing software is a plus
