Mail Processing Specialist
The Mail Processing Specialist plays a crucial role in the Dakota Economic Development Corporation (DEDC) by managing incoming and outgoing mail related to accounts management. This position is responsible for processing correspondence, payments, and documentation efficiently to support the overall operations of the Accounts Management department. The ideal candidate will possess strong attention to detail, organizational skills, and the ability to work in a fast-paced environment while ensuring accuracy in all mail processing activities. Key Responsibilities Mail Processing
Receive, sort, and distribute incoming mail related to accounts management, ensuring timely delivery to appropriate team members. Prepare outgoing mail, including bills, notices, and correspondence, ensuring accurate documentation and compliance with organizational policies.
Payment Handling
Process checks and other payment methods received via mail, ensuring accuracy in data entry and documentation of transactions. Maintain accurate records of all payments processed, including tracking and reporting discrepancies or issues to the Accounts Management Supervisor.
Documentation Management
Organize and file documents received through mail in electronic and physical systems, ensuring easy retrieval and accurate record-keeping. Assist in maintaining up-to-date filing systems for correspondence, notices, and payment records.
Collaboration
Work closely with the Accounts Management team to ensure efficient communication and resolution of any mail-related issues. Provide support to the Accounts Management Supervisor in identifying process improvements related to mail processing and documentation.
Customer Service
Interact professionally with clients and team members to address inquiries regarding mail processing and payments. Maintain a high level of customer service by responding promptly to issues or concerns related to mail and payments.
Compliance & Confidentiality
Adhere to all policies and procedures related to confidentiality and compliance in handling sensitive financial information. Ensure mail and payment processing activities are compliant with tribal lending regulations and internal standards.
Qualifications High School Diploma or equivalent required; some college coursework in Business Administration or a related field preferred. Previous experience in mail processing, clerical work, or customer service is a plus. Strong attention to detail and accuracy in data entry. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment. Excellent organizational and time management skills, with the ability to handle multiple tasks efficiently. Strong communication skills, both verbal and written. Requirements Valid Driver's License. Must pass a background check.
