Office Of Events Temporary Summer Position
Office of Events is a growing department whose primary function is to assure the events hosted by Utah State University, "Exceed Expectations". The primary purpose of this position is to assist the Registration Coordinators in all aspects of event and conference registration, specifically focusing on the Summer Citizen Program. Hours: Monday-Friday, between 8:00am-5:00pm. May include some evening and weekend hours as needed with prior notification. Weekly hours will be between 10 to 28 hours. The work schedule will be determined on a weekly basis. ***This position is a temporary summer position, beginning the second week of May and ending the last week of August.*** Responsibilities
Assist the Registration Coordinators in all aspects of event and conference registration Enter registrations into database from phone calls, emails, facsimile, and mail notifications, with an emphasis on the Summer Citizen Program registration Process payments following the department cash handling procedures; some collection responsibilities Answer phone calls and respond to e-mails, with an emphasis on Summer Citizen questions, calls, and emails Process registration requests from Program Coordinators Name badge set-up, printing and preparation, and attendee check-in Travel as needed (arranged ahead of time) Assist with the Summer Citizens Program and other events as needed Other duties as needed Qualifications
Minimum Qualifications Ability to speak, read, write and understand English proficiently. Knowledge of basic accounting/bookkeeping practices and procedures. Strong working knowledge of Microsoft Word and Excel in a Windows environment, and the ability to work with other divisional database systems for which training is provided. Strong clerical and record keeping skills. Preferred Qualifications At least six months related office experience, meeting planning experience, group event administration, or hospitality/tourism industry-related experience. Experience in group events, program coordination and/or project management responsibilities. Interested in a career in conference management and the hospitality and tourism industry. Interested in a long-term employment and advancement opportunities with the Conference Services team for the Office of Events at Utah State University. Knowledge, Skills, and Abilities Ability to work unsupervised when needed and to fill in for the Program Coordinator or Registration Coordinator in some instances. Strong organizational skills and attention to detail. Willingness and ability to meet deadlines in a high stress environment and handle many tasks simultaneously. Excellent oral, written and interpersonal communication skills. High level of initiative, self-motivation and a positive attitude. Knowledge of filing systems and information management systems. Ability to operate standard office equipment to include copiers, telephone systems, computer data systems and printers. Ability to maintain confidential information. The environment and physical requirements may change depending on the specific function of the work each department performs. Incumbents may be in both indoor and outdoor environments. Incumbents may nearly continuously sit and often use repetitive hand motion (such as typing). This position requires moderate physical effort. Employees must have sufficient strength to perform the duties and responsibilities of the position, including lifting up to 25 pounds, walking and standing.
