Job Summary Our marketing team is growing, and we are looking for someone who can help bring our company’s marketing to the next level. With 100 employees across five offices, our company is small enough that everyone knows each other, but large enough to have significant marketing resources, needs, and aspirations.
The Proposal and Marketing Coordinator will primarily support our Senior Marketing Coordinator and/or Marketing Manager with preparations of materials for responses to public RFQ/RFPs as a subconsultant and as prime consultant. In addition, other work involves a wide range of tasks to support our marketing team, such as preparation of marketing materials and digital communications, organizing office events, and preparing award submittals. On occasion, some travel will be requested to other offices (Sacramento, Napa, Santa Rosa, San Francisco, and Silicon Valley).
This position is available in either our Santa Rosa, San Francisco, Sacramento, or Silicon Valley (Redwood City) offices. A full-time in-office position is preferred, but flexibility is available if needed.
Ideal Candidate The ideal candidate is motivated, creative, flexible, and a good communicator. This candidate is well organized, has excellent coordination skills, and pays keen attention to details. Strong writing and editing skills are a must. This candidate is good natured, positive, and knows how to juggle simultaneous tasks as well as work with a team of busy people. This person is confident but eager to learn and unafraid of asking questions.
The Proposal and Marketing Coordinator is preferred to hold a bachelor’s degree in business, marketing, communications, or other relevant field of study. Alternately, they may have a minimum of two years of relevant professional experience in the A/E/C field. A candidate who meets neither qualification shall be passionate to learn and contribute meaningfully to the team and able to demonstrate this as well as their relevant skills and aspirations in an oral and written manner.
The Proposal and Marketing Coordinator shall be proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint). Strong reading comprehension skills are required, as review and interpretation of public Requests for Proposal is a main function of the position. Proficiency with Adobe Creative Cloud and in Adobe programs (InDesign, Acrobat, Photoshop) is desirable, as is some experience with Deltek Vision, Vantagepoint, or similar database application.
What You Will Be Doing Some of the primary responsibilities and desired qualities of the Proposal and Marketing Coordinator are noted below:
Provide clear and correct written materials
Edit others' written work for content, clarity, grammar, and usage
Provide consistently professional and positive communication with clients
Prepare resume and other collateral used in proposals
Generate project pages and narratives to best feature our work in proposals
Attend pre-proposal meetings both in person and virtually
Work collaboratively with principals and other technical staff on proposal preparation
Assist with development of branded marketing collateral to support staff needs
Other responsibilities may include:
Help develop marketing collateral and presentations for client marketing, conferences, trade shows, and career fairs
Assist with the planning and coordination of annual employee events and client-focused events
Assist with the preparation of award submittals
Assist with coordination and monitoring deliveries of client holiday gifts
Assist with updating and maintaining the website
Assist the marketing team with posting pre-approved social media announcements
Assist with maintaining the inventory of marketing supplies and event giveaway items
Provide some administrative support to local offices
