The COCC Assistant Director of the Juvenile Court Department assists in the administration, supervision, and operation of all functions related to juvenile court records, case processing, and customer service. This position supports the Director in ensuring compliance with state laws, Florida rules of procedure, confidentiality requirements, and internal policies while promoting efficient, accurate, and ethical court operations. This is a specialized department that focuses on Delinquency, Dependency, Family, and Domestic Violence cases.

The Assistant Director may act on behalf of the Director in their absence, and helps oversee all administrative functions of the COCC, ensuring the efficient and accurate processing of legal documents, maintaining court records, managing staff, and upholding compliance with state and federal regulations, while providing excellent customer service to the public and legal community.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist the Director in planning, organizing, and overseeing daily operations of the Juvenile Clerk of Courts Department.

Help develop, implement, and monitor departmental policies, procedures, and best practices.

Assist in preparing reports, statistics, and documentation required by the court, state agencies, or other governing bodies.

Assist in the direction and administration of all cash management procedures.

Assist is the implementation of all disciplinary investigations and resolutions.

Provide guidance, coaching, and corrective action when necessary.

Foster a professional, respectful, and service-oriented work environment.

Ensure departmental compliance with applicable state statutes, court rules, and confidentiality laws related to juvenile records.

Monitor record retention, data integrity, and security of sensitive information.

Assist with internal audits and respond to compliance inquiries.

Serve as a liaison between the Clerk’s Office, judiciary, court administration, attorneys, law enforcement, social services, and the public.

Assist with budget preparation, monitoring expenditures, and resource allocation.

Help identify operational needs, technology improvements, and training opportunities.

Assuming the duties of the Director in their absence, as assigned.

Assist in planning, organizing, directing, and coordinating daily court operations and support services.

Monitor workflow, productivity, and resource allocation and step in for the director when absent.

Supervise administrative, technical, and clerical staff.

Oversee recruitment, training, performance evaluations, disciplinary actions, and team development.

Assist the director in overseeing the maintenance and security of court records, both physical and electronic; ensure accuracy and compliance with legal/regulatory standards.

Participate in drafting court policies and procedures, ensure staff compliance, evaluate process efficiency, and recommend improvements.

Monitor and enforce court rules and procedures, addressing any compliance issues.

Lead special projects (e.g., technology integration, process updates, training) while staying current on legislative and technological changes and implementing enhancements.

Liaise with attorneys, litigants, and the public to provide information regarding court processes and procedures.

Assist in preparing and managing department budgets; review expenditures, procure supplies/equipment, monitor financial transactions, and implement internal controls.

Assist the Department Director monitor system performance and identify opportunities for technology upgrades to improve efficiency.

Conduct performance evaluations and provide feedback to staff members.
