Role Description This full-time hybrid role is based in Louisville, KY, with flexibility to work from home part of the time. The Fundraising and Events Specialist will coordinate and execute fundraising initiatives and events to support BBB's mission. Responsibilities include organizing charity events, securing sponsorships, managing donor relationships, and fostering collaboration with local businesses and community leaders. The role also involves tracking fundraising goals, maintaining records, developing promotional materials, and ensuring events run smoothly.
Fundraising and Events Specialist The Fundraising & Events Specialist is responsible for the planning, implementation, management and fulfillment of all fundraising activities and special events in the Louisville Metro area. The primary focus is NON-DUES REVENUE. This position reports to the Director of Administration and Fund Development and also works with the Fundraising and Events Specialist in the Lexington/Eastern KY area as needed.
Summary Responsible for the planning, implementation, management and fulfillment of all fundraising activities and special events. This is a fundraising position! There will be daily call goals, and budget expectations.
Responsibilities of the Fundraising and Event Specialist include, but are not limited to the areas below.
Administrative
Sets individual goals/objectives and shares those annually with manager and the President/CEO in December for the upcoming year.
Develops and maintains a comprehensive, diversified and integrated program to ensure success of annual events.
Fosters positive relationships with neighboring BBB counterparts to effectively collaborate on projects/events and campaigns.
Travels out‑of‑town when needed for job‑related workshops and activities.
(Golf Scramble, Clay Shoot, Torch Awards, Business Conference)
Organizes all planning for the Annual BBB Business Conference, BBB Golf Scramble, BBB Clay Shoot, and BBB Torch Awards.
Creates sponsor benefits and packages for each event.
Works with digital/marketing team to develop all event materials, promotion schedule, and graphic design.
Solicits and fulfills sponsorship(s), participation, and donations for events.
Oversees sponsor contracts and payments for each event and follows up on late payments.
Increases revenue annually for each event.
Organizes and reports the status of event money to Supervisor and President/CEO.
Other events
Responsible for coordination of BBB Annual Meeting and staff assignments for the event (June/July), Director of Administration and Fund Development will reserve the space.
Responsible for preparing for the Annual BBB Shred Events (Spring/Fall), and working the event with staff (could bring in new sponsors for the events).
Helps co‑ordinate networking events at BBB when needed.
Other Duties
Work closely with various chambers, as they are good partnerships for us.
Network, network, network. It helps with finding sponsors!
Develops new strategic alliances inside and outside the BBB member base.
Creates strategies that benefit not only fund development but also the organization as a whole.
Abilities, Qualifications, and Requirements
Excellent communication skills, both verbally (in person and via phone) and in writing.
Multiple phone calls per day is required!
High level of computer proficiency.
High level of attention to detail.
Highly organized.
Outgoing, not afraid to talk to anyone and “ask.”
Excellent time management skills and ability to multi‑task and prioritize work.
Maintains a positive attitude.
Spontaneity and improvisational skills.
Ability to maintain the confidentiality of proprietary information.
Familiarity with nonprofit organizations is a plus.
Education Requirements A Bachelor’s degree from a four‑year college or university or 5 years of customer service experience or a combination of education and experience is preferred.
Physical and Other Requirements
Ability to safely and successfully perform essential job functions consistent with federal, state and local standards, including meeting qualitative and quantitative standards.
Ability to maintain regular attendance consistent with federal, state, and local standards.
Must be able to sit, look at a computer screen, talk on the phone, type, and/or take notes for extended periods.
Must be able to lift and carry 20 to 40 pounds, when needed.
Must be able to listen and speak clearly on the telephone and in person in English.
Must have and maintain a valid driver’s license.
Must have reliable transportation with acceptable minimum insurance coverage for traveling locally, regionally, and nationally when applicable.
Work Schedule As an exempt employee, work is 37.5 hours per week, between 8 am and 4:30 pm, Monday through Thursday, and 8 am to Noon on Fridays (if not meeting goals, full Fridays will be required). Includes some night or weekend work, on an as‑needed basis (networking/BBB events).
Compensation & Reimbursements (subject to change at management’s discretion): Annual salary plus expenses and any potential bonuses. Expenses must be approved by Supervisor. Any approved expenses and/or mileage (at the Federal rate) will be reimbursed at the end of each month.
