Chroma Systems Solutions, Inc. is a leading designer and manufacturer of power testing instruments and systems including programmable AC Power Source and DC Power Supplies, AC loads and DC Electronic Loads, Digital Power Meters and Automated Testing Systems for applications in LED Lighting, Led Drivers, Aerospace, Defense, Military, Automotive, Medical, Battery, Solar, Marine, and Regulatory Testing. We’re looking for a well-rounded Order Processor to assist our operations department with handling purchase orders, administrative duties and working collaboratively with multiple departments and all levels within the organization. The ideal candidate should have a positive work ethic through on time work arrivals, high attendance levels and positive teamwork with coworkers.

Essential Duties & Responsibilities

Work with Management to review and improve processes for Order Processing.

Receive and process clean Instrument PO’s & ATE Orders Direct from Sales.

Schedule freight orders/create BOL’s.

Manage on-line orders with Marketing to ensure timely accuracy of orders and timely shipments.

Quote shipping charges to Sales/ATE Departments per potential orders.

Filing of hard copy documents and manages history files.

Coordinate shipment of instruments based off of receipt of product from Taiwan and release pending back orders and current orders to shipping queue.

Coordinate shipments with warehouse/operations per their inquiries on orders in their shipping queue.

Communication with purchasing based off stock demands inquiries.

Locate calibration certificates/warranty proof for previous orders based off service/sales inquiries.

Confirm stock based off MAS ERP for sales.

Provide files to A/R end of day for q/c and invoicing.

Follow up with A/R on $ received on C IA (C ash in Advance) orders.

Follow up with A/R on terms approved on new customers.

Create $0.00 shipping request based off of individual departments demands (marketing/i.e./operations).

Approve various A/P invoices i.e. shipping /freights.

Coordinate with Accounting regarding ATE orders/ shipments.

Run ATSR twice daily.

Monitor Insurance issues for damaged shipment/work with Service Manager on these as required.

Provide feedback to post sales customer inquiries such as expected delivery dates, shipping information, freight details of shipments, etc.

Escalate customer material requests to Sales during post-sales support inquiries.

Working knowledge on international shipment and commercial documents.

International shipping certification preferred.

Create commercial documents as needed.

Qualifications

AA or Bachelors College Degree preferred and/or 3 years of experience running Order Processing functions.

Working knowledge of ERP/MRP System required.

Working knowledge of Supply Chain processes recommended.

Must possess excellent interpersonal relations and written/oral communication skills to communicate with both internal contacts in the organization and external contacts including customers, vendors and government agencies.

Well organized, with strong analytical and problem-solving skills.

Ability to gather, interpret and proactively act on data with minimal supervision.

Microsoft Word, Excel, PowerPoint, Outlook required.

Must have ability and desire to continue to learn and update working knowledge.

High sense of urgency with ability to work in a fast-paced team environment anticipating and adjusting to challenges.

Able to follow directions, manage multiple tasks, and respond to urgent requests in a positive manner.

Working knowledge of basic accounting practices.

Supervisory Responsibilities This is a non-supervisory position

Physical Demands General office skills and dexterity are required. Must be able to lift 30 pounds.
