
Proposal Coordinator

Gale Associates, Inc., is seeking a Proposal Coordinator to join our Rockland, MA office. Gale is a well‑respected national engineering/planning firm celebrating over 62 years in business and rated one of Zweig Group’s “Best Firms to Work For” for the past 12 consecutive years.
Job Responsibilities
Reviews RFP and RFQ’s and crafts responses that meet requirements for proposals and qualification submissions.
Assist Corporate Marketing in creating and updating collateral materials including resumes, firm and service profiles, project lists, project summaries, and specific company information in InDesign.
Build parameters for InDesign master templates for RFP/RFQ design development consistent with brand standards.
Assigns Proposal Numbers in Deltek Vantagepoint and updates proposal information throughout the proposal/selection process.
Completes printing, binding, scanning and delivery of RFP/RPQs.
Reviews daily lead subscription services, and targeted client procurement portals.
Adds, updates, and maintains Deltek Vantagepoint database of contacts and information, including new contacts, daily clean up, and run reports, etc.
Assists in the development of PowerPoint presentation for project interviews and client meetings.
Promotes Gale’s Values, Mission and Vision Statements.
Other duties as assigned.
Job Qualifications
Bachelor’s degree with a focus in Marketing, Graphic Design, and Communications
A minimum of 4 years’ experience in a professional services firm, preferably engineering or architecture.
Knowledge of the business development proposal process (RFP/RFQ/SOQ).
Track record of creating qualifications and proposals for AEC market sectors and building types.
Creative, self‑motivated, proactive, well organized, and ability to multitask.
Excellent verbal and interpersonal skills with a positive, professional attitude.
Excellent writing and communication skills.
Strong graphic design skills.
Highly Proficient with Adobe InDesign and Microsoft Office (Word, Excel, Outlook, PowerPoint).
Knowledge on Deltek Vantagepoint is a plus.
Involvement in the Society of Marketing Professional Services (SMPS) a plus.
