Executive Assistant – Retail Leasing Division

IPRG is seeking a highly organized, proactive Executive Assistant to support our Retail Leasing Division in our New York City office.

This role is ideal for someone who thrives in a fast-paced environment, enjoys supporting high-performing teams, and is capable of managing multiple operational, administrative, and marketing responsibilities simultaneously.

The Executive Assistant will work closely with our retail leasing brokers and leadership team to ensure day-to-day operations run smoothly while helping coordinate marketing initiatives, CRM management, and internal processes.

This is an excellent opportunity to gain exposure to NYC commercial real estate brokerage, retail leasing transactions, and the inner workings of a fast-growing brokerage firm.

Key Responsibilities Broker & Team Support

Provide direct administrative and operational support to the Retail Leasing team

Manage calendars, scheduling, and meeting coordination

Assist brokers with day-to-day operational needs and workflow organization

Coordinate property tours and assist with client meeting logistics

CRM & Data Management

Manage and maintain Salesforce CRM records

Input and update property listings, contacts, and transaction data

Maintain accurate broker pipeline and deal tracking

Ensure database integrity and organization

Marketing & Communications

Assist with the creation and coordination of marketing materials for listings

Help prepare presentations, sales materials, and offering packages

Coordinate email marketing campaigns and marketing blasts

Assist with social media coordination and online listing distribution

Operations & Administrative Support

Assist with payroll coordination and administrative reporting

Support onboarding processes for brokers and team membersHelp maintain internal documentation, procedures, and operational workflows

Desired Skills & Experience

Strong organizational and time management skills

Excellent written and verbal communication abilities

Ability to manage multiple priorities in a fast-paced environment

High attention to detail and strong follow-through

Comfortable working both independently and collaboratively

Proficiency with Microsoft Office (Excel, Outlook, Word)

Experience with Salesforce or CRM platforms preferred

Interest in commercial real estate or brokerage operations is a plus
