OVERVIEW The Tennessee Department of Tourist Development is seeking a highly organized

Marketing & Tourism Office Coordinator

to support the marketing team and help ensure efficient daily operations for the Tourism Central Office. This role supports the marketing, communications and tourism initiatives that promote Tennessee to domestic and international travelers and drive tourism growth across the state.

The coordinator provides administrative and operational support to the Assistant Commissioner of Marketing and marketing leadership while helping manage office logistics, departmental resources, promotional materials and marketing program support. This position works closely with multiple teams across the department and requires strong organizational skills, attention to detail and the ability to manage multiple priorities in a fast-paced environment.

KEY DUTIES AND RESPONSIBILITIES Administrative & Office Operations

Provide primary administrative support for the Assistant Commissioner of Marketing & marketing leadership team

Schedule meetings, manage calendars and coordinate meeting logistics

Book and prepare meeting rooms and assist with meeting technology

Prepare materials for meetings, presentations and team communications

Maintain digital and physical files and department contact lists

Office Logistics & Resource Management

Manage office storage areas and maintain organization of department materials

Coordinate weekly office supply orders

Receive and distribute incoming mail and packages

Assist with organization and management of promotional materials and printed resources

Marketing & Program Support

Assist with coordination of marketing initiatives and department programs

Maintain and organize promotional materials inventory

Support website and digital asset management tasks as needed

Assist with event and trade show logistics including materials preparation and coordination

Maintain CRM databases and assist with reporting

Process invoices and assist with expense tracking

Maintain organized records and documentation for department initiatives

REQUIRED SKILLS

Strong organizational and administrative skills with the ability to manage

Excellent written and verbal communication skills

Strong attention to detail and accuracy

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Ability to work both independently and collaboratively in a team environment

MINIMUM QUALIFICATIONS Education: High School graduate, diploma required; higher education preferred.

Experience: Entry level position. Full-time work experience in professional environment is valued.

ESSENTIAL FUNCTION Reliable transportation and ability to work primarily in the downtown Nashville office 4 days/week with 1 remote day/week

ENVIRONMENTAL CONDITIONS AND PHYSICAL DEMANDS

Moderate physical activity performing somewhat strenuous weekly activities of a primarily administrative nature. A portion of typical duties include time seated; working at a desk in front of a computer monitor.

Manual dexterity sufficient to reach/handle items, works with the fingers, and perceives attributes of objects and materials.

The employee must occasionally lift and/or move up to 25 pounds.

Physical demands increase for event involvement – increased walking, bending, stooping and lifting.
